Best Point Education & Behavioral Health is seeking a detail-oriented, customer-focused Intake Specialist to serve as a key connection point for children, families, adults, referral partners, and clinical teams.
As an Intake Specialist, you'll help make sure individuals and families can access the behavioral health services they need as quickly and smoothly as possible. From coordinating referrals and verifying insurance to scheduling appointments and maintaining accurate records, you'll help guide each client through the intake process from start to finish.
Job Responsibilities
Coordinate Referrals & Intakes
- Coordinate and process referrals from providers, hospitals, schools, community agencies, and other referral sources
- Serve as a primary point of contact for clients, families, providers, and community partners throughout the intake and referral process
- Open new client records and maintain accurate demographic, insurance, and payer information in electronic health record (EHR) systems
- Help ensure referrals move efficiently from initial contact through scheduled services
Support Scheduling & Access to Care
- Schedule intake appointments, medication management appointments, and other clinical services
- Communicate referral updates, documentation needs, and appointment information to clinical and administrative teams
- Assist with appointment scheduling and client check-in processes
- Collect co-payments when applicable
- Help clients and families understand next steps in the intake process
Insurance & Administrative Support
- Verify insurance coverage and maintain accurate financial payer information
- Support service authorization and billing readiness by ensuring required information is complete and accurate
- Provide guidance to front desk and office staff regarding insurance, referrals, and intake procedures
- Answer office and referral phone lines in a professional, compassionate, and solution-focused manner
- Support daily office operations and provide coverage at other agency locations as needed
- Maintain strict HIPAA compliance and protect the confidentiality of all client information
Qualifications
- High school diploma or equivalent
- Strong customer service, communication, and organizational skills
- Ability to manage multiple priorities while maintaining accuracy and attention to detail
- Experience working with confidential information in a professional setting
- At least 2 years of experience in a healthcare, behavioral health, medical office, or related setting preferred
- Experience with insurance verification, benefits coordination, referrals, scheduling, or patient intake preferred
- Familiarity with EHR systems, scheduling software, and electronic documentation processes preferred

Work Environment
This position is based in an office setting, with potential exposure to school and mental health treatment environments. The employee may interact with children and adults experiencing behavioral or emotional challenges, including individuals who may be upset or verbally escalated. The position may also require occasional coverage at other Best Point locations.
