We are seeking an experienced and detail-oriented Bookkeeper / Office Coordinator to take ownership of the company's day-to-day bookkeeping activities while providing administrative and office support.
This role is ideal for someone who enjoys working in a smaller organization, is comfortable wearing multiple hats, and wants visibility into the broader business. The successful candidate will be organized, dependable, and comfortable managing financial records and administrative responsibilities with a high degree of accuracy and discretion.
Key Responsibilities
- Manage day-to-day bookkeeping activities, including Accounts Payable (AP) and Accounts Receivable (AR).
- Reconcile vendor invoices with packing lists and ensure appropriate approvals are obtained.
- Prepare and issue customer invoices for completed and shipped work.
- Maintain accurate accounting records and supporting documentation.
- Track capital equipment and inventory of critical production materials.
- Maintain and close out job files for completed projects.
- Assist with accounting-related projects and financial documentation as needed.
Payroll & Financial Support
- Provide backup support for payroll processing.
- Collect and review employee timesheets and submit payroll through ADP.
- Coordinate with the company's outside CPA and provide financial records and documentation as requested.
- Assist with preparing quotations for new business opportunities.
- Maintain organized financial and business records for internal use and external reporting.
Records & Office Administration
- Maintain accurate physical and electronic records, including accounting, job, contract, shipping, and receiving documents.
- Provide light front-office coverage, including answering phones, screening calls, and greeting scheduled visitors.
- Assist with general office administration and other projects as needed.
- Help organize information, improve record-keeping processes, and maintain structure across administrative and accounting functions.
Required Qualifications
- Strong working knowledge of QuickBooks Enterprise Desktop / on-premise.
- Hands-on experience with Accounts Payable and Accounts Receivable.
- Experience working with an outside CPA or accounting firm.
- Proficiency with Microsoft Excel and Microsoft Word.
- Strong organizational skills and exceptional attention to detail.
- Ability to maintain accurate records and organize financial and business information.
- Strong ability to handle confidential financial and business information with discretion.
- Self-motivated and comfortable working independently with minimal supervision.
- Strong follow-through and ability to take ownership of assigned responsibilities.
- Ability to work effectively in a small, collaborative organization where responsibilities may extend beyond traditional bookkeeping.
Preferred Qualifications
- Experience working in a small manufacturing, technology, engineering, or R&D environment.
- Experience with inventory, capital equipment, job costing, or project-based accounting.
- Experience with ADP payroll.
- Experience preparing customer invoices and/or business quotations.
- Familiarity with shipping, receiving, and production-related documentation.
