Job summary

Abacus is seeking a detail-oriented Billing Administrator to manage invoicing, payment tracking, collections, and billing support. The role ensures accurate financial records, resolves billing discrepancies, and collaborates with internal teams and clients to maintain efficient billing operations.

The ideal candidate has 2–4 years of billing or AR experience, an associate degree in business, and strong Excel and accounting software skills.

Qualifications

• Associate's degree in Business or a related field preferred.
• 2–4 years of billing, accounts receivable, or related accounting experience preferred.
• Experience with invoicing, payment reconciliation, collections, and financial reporting.
• Strong attention to detail, organization, and problem-solving skills.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Excel and billing/accounting software.
• Ability to manage multiple priorities, meet deadlines, and work collaboratively across teams.
• Experience in a CPA firm or professional services environment is a plus.

Responsibilities

• Prepare, review, and process client invoices, ensuring accuracy of billing details, project notes, and WIP records.
• Review daily receipts and apply payments accurately, resolving discrepancies as needed.
• Manage billing inquiries and communicate with clients and internal teams via email, phone, and Microsoft Teams.
• Monitor accounts receivable, generate aging reports, and follow up on outstanding invoices and overdue balances.
• Process collection records, client refunds, and billing adjustments while maintaining accurate documentation.
• Review and resolve outstanding WIP items, prepayments, and account discrepancies.
• Collaborate across departments to improve billing workflows, resolve issues, and maintain compliance with company policies.
• Assist with staff training on billing procedures and best practices.
