Job summary

outer/most is seeking a full-time Booking Coordinator for our Chicago office to support artist tour coordination. The role includes contract administration, artist payments, and settlement processes, with reporting to the Partners. Candidates must have at least two years of prior experience at a booking agency and be a highly motivated self-starter.

Qualifications

• Bachelor’s degree or higher preferred.
• Minimum two years’ administrative experience at a booking agency.
• Exceptional organizational, communication, writing and interpersonal skills.
• Excels working both independently and within a team environment.
• Self-starter with meticulous attention to detail.
• Ability to effectively perform tasks in a fast-paced working environment.
• Ability to prioritize and meet deadlines with a high-volume workload.
• Familiarity with artist immigration and taxation processes.
• Proficiency with Google Suite and Microsoft Office 365.

Responsibilities

• Artist contract administration from point of confirmation to show settlement.
• Overseeing artist fee payment tracking and administration.
• Coordinating tour announcements.
• Managing support submissions.
• Reaching out to promoters for show holds.
• Updating Routing Grid.
• Generating itineraries.
• New artist onboarding.
• Building and create reports within Prism.
• Contacts database maintenance within Prism, using proper data hygiene according to agency standards.
• Supervising administrative staff.
• Running the weekly admin meeting.
• Weekly deposit and contract reporting to partners.
• Prepping artist immigration materials.
• Other projects as needed.
