Job summary

The position supports Leadership and Admissions, coordinates room reservations and events, and maintains professional front office standards in a Christ-centered school environment.

Qualifications

  • High school diploma or GED required; bachelor’s degree preferred.
  • Experience in administrative roles or customer service; educational setting preferred.
  • Proficient in MS Office applications (Outlook, Word, Excel, PPT).
  • Knowledge of using multi-line phone systems and office equipment (copiers, scanners, fax).
  • Excellent interpersonal skills to maintain positive relations with patrons.

Responsibilities

  • Greet and direct students, families and visitors at the front desk.
  • Serve as primary phone operator; route messages to appropriate staff.
  • Manage sign-in, issue access badges, and monitor entrance security.
  • Coordinate room reservations and special event needs with Operations.
  • Prepare documents, correspondence, forms and reports.
  • Support Leadership and Admissions with scheduled meetings and data imports.

Job description

The Administrative Receptionist is key in creating a welcoming reception to all who enter the POPCS building, greeting and directing students, families, and visitors. The position serves as the primary door and phone operator managing front office traffic, facilitating communication between parents, students, and staff, and handling clerical and office duties to keep the school running smoothly and securely. This role also performs medium administrative work providing support for Leadership and Admissions.

Supervisory Responsibilities:

This position has no direct supervisory responsibilities

Key Responsibilities / Duties:
  • Welcomes, greets, and directs students, families and visitors entering the school
  • Create a pleasant, inviting, welcoming atmosphere in which families and students feel welcomed and secure
  • Operates security hardware/software for main doors/entrance
  • Ensures proper sign in and provides access badges
  • Restricts entrance to the school for unauthorized visitors or people who do not sign in appropriately
  • Primary phone operator receiving incoming calls, texts, and/or emails; taking reliable messages and routing to appropriate staff as well as interface for inquiries
  • Coordinate with Operations Manager on room reservations and special event needs requests
  • Prepare written documents, correspondence, forms, and reports
  • Leadership Support specific to:
    • Special emails or other communications
    • Schedule meetings and travel arrangements when needed
    • Maintain calendars and/or appointment logistics
    • Assists with special projects
  • Admissions support specific to:
    • Review scheduled activities daily and send out communications
    • Systems usage for new and returning student data imports and tour inquiry logs
  • Assist students, teachers, staff, and parents as needed
  • Ensure work area is professionally maintained in appearance as well as all front office equipment, materials, and supplies are stocked and handled with care
  • POPCS retains the right to adjust the responsibilities and assignments of all positions when necessary to meet the needs of the School
Confidentiality

The Administrative Receptionist may be exposed to highly sensitive school, student, and/or family information and medical information. Maintaining strict confidentiality of all information is essential to preserving trust and the integrity of the school's efforts.

Qualifications, Education, and Experience:
  • Active member of a Christian church, preferably a member of a LCMS church
  • A high school diploma or GED required, bachelor’s degree preferred
  • Experience in administrative roles or customer service; educational settingpreferred
  • Previous work experience to show dependability, responsibility, and maturity
  • Proficient program usage of MS Office applications(Outlook, Word, Excel, PPT)
  • Working knowledge of office equipment such as copiers, scanners, fax, and computers
  • Knowledge and experience with using multi-line phone systems
  • Excellent interpersonal skills to ensure positive relations with all patrons
  • Experience working in a multi-task environment

Schedule
  • Full-time staff, year-round, onsite including summer and school breaks
  • Normal hours of operation: Monday – Friday;7:30 AM to 4:00 PM
  • 13 Paid holidays per year
  • Scheduled hours during summer break, fall break, Christmas break, and spring break are based on the needs of the school and on-campus scheduled activities; these hours are subject to changeat the discretion of the Head of School
