Job Summary
The Administrative Coordinator I, works under general supervisionand provides administrative support for a unit or specializedactivity to include the exercise of discretion and independentjudgement with respect to matters of significance.
Essential duties and responsibilities
- Participates in the planning and execution of administrativeoperations. May serve as the office manager. Monitors officeprocedures. Develops, evaluates, and ensures adherence to officeprocedures.
- Reviews documents for supervisor. Attends meetings orcommittees on behalf of supervisor.
- Analyzes requirements for projects or initiatives. Providestechnical information regarding administrative procedures,services, or programs.
- Applies and interprets, and/or assists in implementingmanagement policies or operating practices. Develops administrativeand technical procedures. Researches, interprets, compiles, andresponds to inquiries about rules, regulations, policies andprocedures. May monitor compliance with policies andprocedures.
- Performs special analyses and project summaries.
- Coordinates travel arrangements and prepares itineraries.Coordinates meetings, seminars, and other special events and mayprovide on-site support.
- Coordinates the maintenance of files, records, office supplies,or equipment. Makes recommendations for process improvements,administrative changes, or new initiatives.
- Hires, trains and supervises student workers and supportstaff.
Additional Responsibilities
- Supports students through all phases of the doctoral program,including admissions, orientation, comprehensive examinations,candidacy, dissertation timeline tracking, and graduation.
- Coordinates doctoral student comprehensive examinations,dissertation proposal defenses, and dissertation defenses andmaintains associated records.
- Monitors doctoral student progression toward degree completionand communicates program requirements and deadlines to students andfaculty.
- Compiles and maintains doctoral program data for accreditation,assessment, placement tracking, and university reportingrequirements.
- Supports doctoral student recruitment, orientation, andprofessional development activities.
Minimum Requirements
- Education - Bachelor's degree.
- Experience - Two years of related experience.
- Equivalent combination of education and experience may beconsidered.
Knowledge and Abilities
Knowledge of:
- Word processing, spreadsheet, database, and presentationapplications.
Ability to:
- Multitask and work cooperatively with others.
- Interpersonal and communication skills.
- Planning and organization skills.
Licensing / Professional Certification
None.
