Job Summary

The Executive Assistant I, under general supervision, providesadministrative support to high level administrators for anexecutive. Work involves coordinating high-level operations of anagency or division. Exercises discretion and independent judgmentwith respect to matters of significance.

Essential Duties and Responsibilities
  • Coordinates calendars, meetings, and other activities. Providestechnical guidance and advice on administrative matters to agencyexecutives, management, or staff. Coordinates and monitors actionitems and assignments made by the administrator.
  • Drafts and manages correspondence and communications, schedulesappointments, manages calendar, and coordinates travel. Preparestravel arrangements and itineraries, and may approve and processtravel reimbursements. Prepares notices or agendas formeetings.
  • Assists in compiling reports, maintains records and otherdocuments, and coordinates special events. Communicates policies,procedures, standards, and methods. Interprets policies, rules, andregulations. Responds to inquiries, resolving problems or inquiriesReviews administrative practices and programs and assists informulating policies.
  • Plans and coordinates logistical and administrative support forevents, meetings or other special functions and provides on-sitesupport.
  • Researches, compiles, and applies information, makingevaluative judgments on appropriate data to use.
  • May serve as an Office Manager. May have fiscal recordsmanagement responsibilities.
  • May be responsible for training, supervising, assisting orassigning tasks to others.

Additional Responsibilities
  • Assist the offices under the Division of Enrollment Managementwith purchases, travel, requisitions, procurement cards,etc.

Minimum Requirements
  • Education - Bachelor's degree.
  • Experience - Three years of related administrativeexperience.
  • An equivalent combination of education and experience may beconsidered.
Preferred Education and Experience
  • Experience in K-12 or Higher Education.
Knowledge and Abilities

Knowledge of:

  • Word processing and spreadsheet applications.

Ability to:

  • Multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organizational skills.

Licensing / Professional Certification - None.
