Job Title: Administrative Chief of Staff

Compensation: $200,000 Base Salary + Equity + Comprehensive Benefits

Our Client

This is an exciting opportunity to join a dynamic, high-performance environment where exceptional execution, operational excellence, and the ability to thrive amid rapid change are essential to the company’s continued success.

The Opportunity

Our client is seeking a highly capable, polished, and strategically minded Administrative Chief of Staff to support a C-suite executive within a key business function.

This is far more than a traditional executive support position. The successful candidate will act as a trusted right hand, bringing exceptional organization, sound judgment, and forward-thinking execution to a demanding executive environment.

You will anticipate needs before they arise, create structure in a fast-moving organization, and help ensure the executive operates at the highest level of effectiveness. This role is ideal for someone who thrives on accountability, takes genuine ownership, and enjoys operating at the center of a rapidly scaling technology business.

Key Responsibilities
  • Provide high-level executive support to a C-suite leader, managing a complex and evolving schedule, priorities, and commitments.
  • Act as a strategic partner, anticipating executive needs and proactively identifying potential challenges before they arise.
  • Manage complex calendar coordination, meeting preparation, travel arrangements, and executive communications.
  • Ensure the executive is consistently prepared, organized, and operating with maximum efficiency.
  • Exercise exceptional judgment when managing competing priorities, sensitive information, and high-stakes requests.
  • Drive follow-through on key initiatives, ensuring action items, decisions, and commitments are tracked through to completion.
  • Serve as a central point of coordination across internal stakeholders and senior leadership.
  • Bring structure and clarity to an environment that is evolving rapidly alongside significant company growth.
  • Continuously identify opportunities to improve executive workflows, processes, and overall effectiveness.
Ideal Background
  • 5–10+ years of experience in executive support, ideally within a high-growth startup or fast-paced technology environment.
  • Previous experience supporting C-level executives is essential.
  • Demonstrated ability to operate as a trusted partner to senior leadership, beyond traditional administrative responsibilities.
  • Exceptional organizational skills, attention to detail, and ability to manage multiple competing priorities.
  • Highly proactive, with the ability to anticipate needs, think several steps ahead, and consistently stay ahead of the curve.
  • Strategic thinker with excellent judgment and the confidence to challenge assumptions and identify better ways of working.
  • Polished communicator with strong interpersonal skills and the ability to engage effectively with senior stakeholders.
  • A bachelor's degree is preferred.
  • Comfortable operating with a high degree of ownership, urgency, and flexibility in a demanding environment.
  • High-performance mindset: An environment where individuals hold themselves and others to exceptionally high standards.
  • Intellectual curiosity: Leaders who encourage people to challenge ideas, think critically, and bring forward better solutions.
  • Rapid growth: Join a business scaling significantly, with the opportunity to make a meaningful impact during a pivotal stage.
  • High ownership: This is an environment for someone who takes initiative, anticipates challenges, and doesn't wait to be asked.
  • Always-on mentality: A demanding, high-accountability role requiring flexibility, 24/7 responsiveness, and a willingness to go above and beyond when needed.
