Jobot is seeking a highly organized Administrative Assistant to provide direct administrative support to company leaders at a large, family-owned manufacturing company in Orefield, PA. This on-site, permanent position emphasizes calendar management, travel arrangements, expense tracking, and proficient use of Excel and Outlook.

The ideal candidate has 5+ years in admin roles (construction industry preferred), strong communication, and confidentiality.

Qualifications

  • Minimum of 5 years of experience in an administrative role, preferably within the Construction industry.
  • Proven experience in managing meetings, presentations, providing executive support, organizing, filing, and demonstrating excellent communication skills.
  • Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
  • Exceptional calendar management skills, with the ability to coordinate complex executive meetings and events.
  • Experience in managing travel arrangements and expenses.
  • Strong problem-solving skills with the ability to think quickly and adeptly about how to effectively address issues when they arise.
  • Excellent interpersonal skills with the ability to interact with individuals at all levels within the organization.
  • Ability to work in a fast-paced environment, handle multiple tasks simultaneously, and meet deadlines.
  • High level of discretion and confidentiality for both business and personal affairs.
  • Strong attention to detail and accuracy.
  • Demonstrated ability to work independently and within a team.
  • Bachelor’s degree or equivalent work experience preferred.

Responsibilities

  • Provide comprehensive administrative support to executives, including but not limited to, managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations ensuring professional and accurate completion.
  • Maintain an organized filing system for easy access to important documents.
  • Utilize Microsoft Excel to create spreadsheets, charts, and graphs for reporting purposes.
  • Manage and reconcile expense reports, ensuring all expenses are accounted for and processed in a timely manner.
  • Serve as a liaison between executives and internal/external stakeholders, maintaining open lines of communication.
  • Coordinate and prepare materials for meetings and presentations, including agenda setting, minute taking, and follow-up actions.
  • Handle confidential information with discretion and professionalism.
  • Contribute to team effort by accomplishing related tasks as needed.
