Responsibilities
- First Impressions: Serve as the friendly, professional first point of contact for incoming phone calls, visitors, and vendors.
- Customer Support: Greet and assist customers who are dropping off or picking up parts, communicating clear order and pickup details.
- Job Intakes: Gather precise job specifications from customers and accurately prepare physical work tickets for the shop.
- GM Support: Provide daily administrative assistance to the General Manager to streamline operations.
- Data Entry: Perform basic bookkeeping entries in QuickBooks and maintain organized customer records and office files.
- Documentation: Prepare critical paperwork including invoices, packing slips, and work tickets with high accuracy.
- Office Logistics: Monitor office inventory, order supplies before they run out, and keep the front office organized.
- Logistics Assistance: Help prepare small shipments, print shipping labels, and manage basic shipping paperwork.
- Local Errands: Run occasional local business errands (e.g., post office, picking up supplies) to keep operations moving.
Requirements
- Experience: Previous experience in administration, reception, office work, or customer service is preferred.
- The "Go-Getter" Mindset: A proactive professional who takes initiative, manages multiple tasks easily, and works confidently both independently and as part of a team.
- Communication & Personality: Warm, professional, and comfortable interacting with a diverse group of customers and shop staff.
- Attention to Detail: Excellent organizational skills with a commitment to data accuracy.
- Tech Savvy: Comfortable with basic computer systems (email, spreadsheets). Experience with QuickBooks or shipping software is a major plus, but we are happy to train the right person!
- Industry Adaptability: Willingness to learn the basics of our metal-finishing services and comfortable working in an office attached to an active manufacturing environment.
- Requirements: Must have a valid driver’s license and reliable transportation for local errands.
