Job summary

Beasley Media Group in Naples, Florida is seeking an Accounts Payable Specialist/Receptionist to be the first point of contact for visitors and vendors while supporting the corporate finance team's AP cycle.

You will process invoices, code to GL, reconcile accounts, and maintain vendor relationships to ensure on-time payments and GAAP compliance. A associate degree in accounting and admin experience are preferred.

Qualifications

• Associate degree in Accounting or related field.
• Prior receptionist/front-desk experience preferred.
• Fundamental understanding of accounts payable processes, workflows, and GAAP.
• Understanding of how AP transactions impact general ledger posting.
• Proficiency in Microsoft Office Suite.

Responsibilities

• Serve as the primary point of contact at the front desk, greeting visitors, clients, and vendors.
• Answer, screen, and direct incoming calls and emails; relay messages.
• Manage mail and deliveries; coordinate courier services.
• Maintain a clean, organized reception area and common spaces.
• Coordinate meals for executive staff and meetings.
• Oversee daily office operations and vendor coordination.
• Process and manage accounts payable invoices received through multiple channels.
• Review invoices for completeness and proper documentation.
• Verify coding and three-way match where applicable.
• Ensure timely payment of vendor invoices; maintain payment schedules.
• Process payment runs (checks, ACH, wire transfers).
• Code invoices to GL accounts; support month-end close and reconciliations.
• Maintain accurate AP records and vendor relationships.
