Job Description

As a Coordinator within the Vendor Management Team, you will support the planning, coordination, and management of transport services for children in out-of-home placement. This role plays a critical part in ensuring timely, safe, and reliable transport arrangements to support children’s schooling, medical and psychological appointments, and access visits.

Key Responsibilities
Operations & Coordination
  • Manage and coordinate all transport requests, including setting up communication channels and handling related administrative tasks.
  • Liaise with internal stakeholders, vendors, volunteers, and service providers to ensure transport arrangements are executed as planned.
  • Attend to enquiries and provide on‑ground support when required, including being on standby to assist with transport for children aged 1 to 18, including those with special needs or behavioural challenges.
Data Management & Reporting
  • Update and maintain accurate records and databases of transport requests.
  • Support the generation of statistics and reports for management review and policy evaluation.
  • Verify transport claims and supporting documentation for accuracy and compliance.
Process Improvement & Systems Support
  • Work with the team on technology‑enabled solutions to improve operational efficiency and workflow effectiveness.
  • Support process improvements and administrative enhancements within the Vendor Management unit.
Administrative Support
  • Assist with general administrative duties and ad‑hoc tasks as assigned by the supervisor.
Job Requirements
  • Diploma or above in any discipline.
  • Meticulous, well‑organised, and attentive to detail.
  • Proficient in Microsoft Outlook and Excel, and comfortable using online or mobile systems to manage high volumes of data.
  • Able to work independently and collaboratively with internal and external stakeholders.
  • Good command of written and spoken English.
