Job summary

NTUC LEARNINGHUB PTE. LTD. is seeking a proactive Training Operations Assistant to ensure timely preparation of classes and smooth delivery of training programs at our Singapore centre.

The role involves coordinating with trainers and trainees, managing course materials, and handling on-site logistics to maintain a safe and efficient training environment.

Qualifications

• Team player and collaborative mindset required.
• Strong complaint resolution skills preferred.
• Good knowledge of courses offered by the centre is desirable.
• Familiarity with training administration systems is an advantage.

Responsibilities

• Prepare class materials, documents, and props ahead of sessions.
• Ensure timely delivery and closure of classes, including filings and certificates.
• Coordinate with trainers, trainees, and facility staff to maintain smooth operations.
• Manage offsite logistics, including materials, equipment, and stationery.
• Maintain cleanliness and safety in the centre and ensure a conducive training environment.

Job description

Ensure timely preparation of classes

• Conduct daily Gemba walks to monitor operations, safety, and improvement opportunities.
• Prepare course documents, assessment materials, and training props.
• Set up training rooms, furniture, and laptop carts according to course needs.
• Support specialised and ad hoc requirements for corporate or customised courses.
• Coordinate with Digital Operations to ensure pre-delivery readiness, including courseware and refreshments.
• Manage offsite training logistics, including courier coordination for materials, equipment, and stationery.

Ensure timely closure of classes

• Perform batch filings for face-to-face classes in accordance with SLA requirements.
• Prepare and print hardcopy certificates for selected courses.
• Mark assessment papers using OMR systems and generate results.
• Upload assessment results and update scores in the system.
• Scan and process assessor evaluations via OMR.
• Submit required face-to-face class details to funding agencies during audits.
• Manage inventory of stationery, props, training equipment, and bulk course materials.
• Maintain centre cleanliness and overall tidiness.
• Ensure a safe working environment for trainees, trainers, and staff.

Manage stakeholders

• Assist Trainers and Trainees in the facility.
• Maintain good customer service relationships at all times.
