The Senior Clinic Assistant provides supervision, mentoring, and escalation support to Clinic Assistants, including in frontline service, billing and claims processing, clinical assistance, medication handling, and ensuring compliance with MOH, HCSA, and PDPA requirements.
Frontline & Registration
- Oversee patient registration, appointment scheduling, and queue management
- Handle complex or escalated patient service issues and complaints
- Ensure accuracy and completeness of medical records
Billing, CHAS & Insurance Claims
- Oversee CHAS, PG, MG, corporate panel, and insurance claims processing
- Perform second-level checks on complex or high-risk claims
- Guide junior staff on subsidy eligibility and co-payment explanation
- Ensure accuracy of daily cashiering reconciliation and resolve discrepancies
Clinical Support
- Assist doctors during consultations, including acting as chaperone
- Perform authorised clinical procedures (e.g. BP, ECG, nebulisation, wound care)
- Ensure consultation rooms, equipment and consumables are prepared
- Coach junior clinic assistants on clinical workflow and SOPs
Medication & Inventory Management
- Supervise medication dispensing according to clinic SOPs
- Ensure proper storage, cold-chain compliance and expiry monitoring
- Conduct periodic stock checks and investigate variances
- Train junior staff on medication safety and documentation standards
Administration, Compliance & Infection Control
- Able to adhere to and supervise infection control practices
- Ensure compliance with MOH, HCSA and PDPA requirements
- Coordinate and support audits, inspections and regulatory documentation
- Liaise with laboratories, imaging centres and external service providers
Supervision & Team Development
- Provide on-the-job supervision and mentoring to clinic assistants
- Support onboarding and training of new staff
- Identify training gaps and escalate operational issues when required
- Promote a positive, professional and safety-focused clinic culture
Requirements
- Minimum O level with relevant years of experience
- Demonstrated ability to supervise or lead peers
- HealthierSG and CHAS experience required
- Computer literate
- Clinic Assistant certification preferred
- Strong sense of responsibility and ownership
- Good communication and interpersonal skills
- Meticulous, independent and a team player
