Job summary

IDS Medical Systems (Singapore) Pte. Ltd. is seeking an Order-to-Cash Coordinator to manage full order cycles in our ERP system, ensuring timely processing, stock checks, pricing accuracy and compliant credit approvals.

You will provide proactive customer communication and resolve issues quickly. The role requires collaboration with Sales and Warehouse teams to optimize order flow, handle inquiries, manage returns, and ensure regulatory compliance including product registration and ISO13485

Qualifications

• Diploma with 1-2 years related experience.
• Fluent in English and Mandarin.
• Proficient in MS Office applications.
• Hands-on experience with sales order management module of any ERP systems preferred.

Responsibilities

• Manage full order-to-cash cycles in ERP system to meet customer and revenue objectives.
• Receive and validate customer orders: stock, pricing, credit limits.
• Handle inquiries and escalations via phone and email; resolve delivery delays and order discrepancies.
• Coordinate logistics with warehouse team and transporters for timely deliveries.
• Collaborate with Sales and warehouse teams to optimize order flow and resolve delivery issues.
• Monitor urgent manual delivery orders and ensure documents are converted to system records.
• Create and manage blanket orders and coordinate release schedules to align with delivery requirements.
• Oversee order fulfilment and returns, processing adjustments and replacements.
• Suggest workflow enhancements to improve efficiency and order accuracy.
• Ensure compliance with regulatory standards, including product registration before order entry and customs/export rules.
• Provide proactive order-status updates to customers and sales teams.
• Deliver high levels of customer satisfaction through professional communication and quick issue resolution.
• Provide backup support during absences and familiarize with ISO13485 procedures.

Job Scope:

• Responsible in managing the full order-to-cash cycles in ERP system, ensuring timely and accurate order processing to meet customer and revenue objectives.
• Receive and validate customer orders, verifying stock availability, pricing, and credit limits in accordance with internal policies.
• Handle customer inquiries and escalations via phone and email, resolving delivery delays, returns, and order discrepancies promptly and effectively.
• Coordinate on logistics and transportation with warehouse team & transporters to ensure smooth and on-time deliveries.
• Partner closely with Sales and warehouse teams to optimize sales order flow and resolve delivery issues.
• Monitor and follow up on urgent manual delivery orders, ensuring all signed documents were received and converted to official system records.
• Created and manage blanket orders and coordinate on release schedules to align with customers’ delivery requirements.
• Oversee order fulfilment and returns, processing adjustments and replacements in compliance with company policies.
• Suggest workflow enhancements to improve efficiency, order accuracy, and customer satisfaction.
• Ensure adherence to Regulatory standards (especially by checking products registration before order entry) including customs & export regulations.
• Provide proactive communication and order status updates to customers & sales teams.

• Provide backup support during absences of team members.
• Responsible to familiarizewith the ISO13485procedure & always operate within the guidelines.

Requirement:

• Candidate should have Diploma with 1-2 years related experience
• Fluent in both written and spoken English and Mandarin
• Good working knowledge with Ms Office applications
• Hands-on experience with sales order management module of any ERP Systems preferred
