Job summary

House of Global Flavours Pte. Ltd. in Singapore is seeking a proactive Sales Administrator to handle quotations, sales orders, invoices, and delivery orders accurately and on time.

You will coordinate with warehouse, logistics, procurement, and production teams, build client-facing collateral, maintain records and dashboards, and support forecasting with data-driven insights. Flexibility for after-hours, weekends, and holidays is required.

Responsibilities

• Handle incoming quotations, sales orders, invoices, and delivery orders accurately and on time.
• Monitor order progress and coordinate with warehouse, logistics, procurement, or production teams to ensure timely deliver.
• Prepare and manage sales contracts, billing follow-ups, and coordinate with finance for collections.
• Build sales proposals, pitch decks, presentations, quotations, and client-facing collateral.
• Keep customer records, sales pipelines, transaction histories, and operational dashboards up to date.
• Assist with team calendars, meetings, travel arrangements, and internal workflow planning.
• Serve as a point of contact for customer questions, order status updates, and feedback.
• Address delivery delays, billing discrepancies, or product complaints in coordination with internal teams.
• Facilitate smooth communication between sales representatives, finance, logistics, and management.
• Compile daily, weekly, and monthly sales and operational performance reports for management.
• Track sales metrics, target achievements, and inventory levels to spot performance gaps or stock shortages.
• Assist leadership with data-backed insights for sales forecasting and strategy refinement.
• Identify bottlenecks in sales administration or order fulfillment and recommend efficiency upgrades.
• Follow company policies, quality standards, and industry guidelines.
• Available to work on call ,shifts, afterhours, over weekends & on holidays.
