Job summary

A leading Singapore personal/health care distributor is seeking a Sales Administrator to manage customer purchase orders and coordinate with logistics. Responsibilities include processing orders, generating documents, and maintaining records. Candidates should demonstrate proficiency in Microsoft Office and an understanding of e-commerce fulfillment processes. This is a permanent, full-time role based in Singapore. Competitive monthly salary between SGD2,800 to SGD3,000 along with benefits including medical/dental claims.

Qualifications

  • Proficient in Microsoft Office applications, including Outlook, Excel, Word, and Teams.
  • Experience with ERP systems, particularly Sage 300, is an added advantage.
  • Preferably good understanding of e-commerce fulfillment processes.

Responsibilities

  • Process and validate customer purchase orders received via email and phone.
  • Generate Picking Lists, Delivery Orders, and Invoices.
  • Monitor and follow up on pending orders.
  • Maintain proper document filing for audit and traceability.
  • Print and prepare shipment documents for online marketplace orders.
  • Coordinate with logistics to prioritize orders and resolve issues.

Skills

  • This position reports to the Order Fulfillment Manager.
  • Our warehouse is located at JTC Medtech Hub in Boon Lay with a minimum usable 2,000 pallet capacity.

Responsibilities
  • Process and validate customer purchase orders received via email, phone calls, or online platforms.
  • Generate Picking Lists, Delivery Orders, and Invoices.
  • Monitor, follow up, and close pending orders.
  • Maintain proper document filing, including completed invoices, delivery documents, customer POs, and other fulfilment records for audit and traceability.
  • Verify orders in the ERP system to ensure completion and remove cancelled or invalid orders for accurate records.
  • Print and prepare shipment documents such as invoices and airway bills (AWB) for online marketplace orders (e.g., Shopee, Lazada, Tiktok).
  • Update relevant stakeholders—including the sales team and brand managers on non-fulfilment cases, or stock shortages.
  • Provide order status updates to sales teams upon request.
  • Coordinate with the logistics department to prioritise orders.
  • Perform e-invoice submission through customer portals and ensure accuracy of supporting documents.
  • Communicate proactively across departments, including sales, warehouse, customer service, and distribution teams, to resolve issues related to delivery delays, exchanges, returns, rejections, and unfulfilled orders.
  • Handle customer queries related to order fulfilment when required.
  • Functioning as the communications bridge between sales/brand, purchasing, OE team and warehouse/delivery team.
  • Support in warehouse administrative tasks, and warehouse management system training for new team members
Requirements
  • The Sales Administrator will be required to work overtime at times.
  • Proficient in Microsoft Office applications, including Outlook, Excel, Word and Teams.
  • Experience with ERP systems, particularly Sage 300, is an added advantage.

Salary and Remuneration
  • Monthly Salary SGD2,800 to SGD3,000.

Working Hours and Office Location
  • This is a permanent full-time position.
  • Regular working hours (Mon to Thu 7am to 5pm, and Friday 7am to 4pm).
  • Our warehouse is located at JTC Medtech Hub in Boon Lay
