Job Title: Sales Administrator
We are looking for a detail-oriented Sales Administrator to support our Sales team. This role is critical in ensuring smooth sales order processing, accurate documentation, and timely coordination between Sales, Finance, Operations, and external partners.
Sales Order Processing
- Process customer Purchase Orders (POs) accurately and promptly
- Prepare and manage Sales Orders (SO), invoices, delivery orders (DO), credit notes, and related documentation
- Verify pricing, trade terms, promotions, rebates, free goods, and SKU details
- Identify and flag discrepancies before order fulfilment
Sales Support & Follow-Up
- Track orders from confirmation through delivery
- Follow up on outstanding approvals, payments, and documentation
- Support Sales team with order summaries, trackers, and administrative tasks
- Assist during peak sales periods, promotions, and month-end closing
Stakeholder Coordination
- Liaise with internal teams (Finance, Logistics, Warehouse, Customer Service) to ensure smooth order fulfilment
- Communicate with external stakeholders (customers, distributors, freight partners) on order status and documentationResolve basic order-related issues or
- escalate when necessary
Reporting & System Updates
- Maintain accurate records in ERP / CRM systems
- Prepare basic reports on order status, sales fulfilment, and promotions
- Support audits and internal control processes
Requirements
Qualifications
- Nitec or Diploma in Business Administration, Sales, Marketing or related field
Experience & Skills
- 2–4 years of experience in Sales Administration, FMCG, or B2B Distribution
- Strong attention to detail and accuracy
- Good coordination and follow-up skills
- Proficient in MS Excel, Word, and Outlook
- Experience with ERP / CRM systems is an advantage
- Able to manage multiple tasks in a fast-paced environment
- Clear and professional communication skills
