Job summary

XIAOHONG PROPERTY MANAGEMENT PTE. LTD. is seeking a Tenancy and Project Executive to support planning, coordination, and execution of projects across retail malls and commercial properties.

The role focuses on tenancy feasibility, refurbishment projects, and Asset Enhancement Initiatives, with a proactive and hands-on approach in a lean team. Strong design knowledge and coordination skills are essential.

Qualifications

• Diploma in Architectural and Built Environment and Interior Design is required.
• 3–5 years in tenancy design management, retail interior design, or fit-out coordination.
• Understanding of retail design principles, construction processes and tenancy fit-out requirements.
• Strong coordination, communication and stakeholder management skills.
• Proficiency in Microsoft Office and AutoCAD; familiarity with other design software is a plus.

Responsibilities

• Review tenants' design submissions and provide viable design solutions.
• Support AEI, refurbishment, upgrading, reinstatement and CAPEX projects.
• Coordinate with consultants, contractors, tenants, vendors and internal stakeholders.
• Conduct site inspections to ensure compliance with plans, safety and quality standards.
• Review progress and ensure compliance with design and safety requirements.
• Assist in obtaining quotations, processing payments, evaluating proposals, and managing project documentation.
• Verify completed work, progress claims, variation orders and related documents.

About the role:

The Tenancy and Project executive supports the planning, coordination, and execution of projects within the company's retail malls and commercial properties. This role assists in managing tenancy feasibility studies, refurbishment projects, and Asset Enhancement Initiatives.

The successful candidate should be resourceful, proactive, and comfortable working in a lean team where initiative and ownership are highly valued.

Key Responsibilities:

• Review tenants' design submissions and provide practical, innovative, and commercially viable design solutions to ensure compliance with design standards.
• Support the implementation of Asset Enhancement Initiatives (AEI), refurbishment, upgrading, reinstatement, and CAPEX projects.
• Coordinate with consultants, contractors, tenants, vendors, and internal stakeholders to ensure smooth project delivery.
• Conduct regular site inspections to ensure work is carried out in accordance with approved plans, safety requirements, and quality standards.
• Review contractors' work progress and ensure fitness according to approved design and compliance to safety requirements.
• Assist in obtaining quotations, process payment, evaluating proposals, preparing purchase requisitions, and administering project documentation.
• Verify work completion, progress claims, variation orders, and supporting documents before submission for approval.
• Maintain proper project records, reports, drawings, permits, warranties, manuals, and close-out documentation.
• Participate in project meetings and prepare meeting minutes, progress updates, and reports.

Requirements:

• Diploma in Architectural and Built Environment and Interior Design.
• Minimum 3-5 years of relevant experience in tenancy design management, retail interior design, or fit-out coordination. Good understanding of retail design principles, construction processes, and tenancy fit-out requirements. Good team player with creativity and is meticulous.

• Proficient in Microsoft Office and Autocad; familiarity with other photo editing or design software is an advantage.
