Job Summary
You will manage inbound group and FIT (Free Independent Traveller) travel arrangements, coordinate with agents and suppliers, handle operational changes, and support on-ground activities to ensure smooth and seamless travel experiences.
Responsibilities
- Arrange inbound group tours by booking hotels, transport, meals, sightseeing, and tour guides to meet client requirements
- Liaise with overseas agents and local suppliers to confirm bookings and secure timely service delivery
- Prepare accurate tour documents including vouchers, rooming lists, and final itineraries for group tours
- Manage amendments, special requests, and last‑minute operational changes to maintain service quality
- Assist on‑ground during group arrivals, departures, or key events to ensure smooth coordination and customer satisfaction
- Coordinate with tour leaders and guides to facilitate seamless tour execution and resolve issues promptly
- Oversee daily inbound FIT operations by coordinating travel arrangements and confirming services with transport providers and driver‑guides
- Operate the company’s 24/7 hotline during guest stays to provide timely support and resolve inquiries or issues
- Monitor booking status and supplier performance to maintain service quality and cost efficiency
- Develop and improve operational procedures to enhance productivity and service standards
- Ensure compliance with company policies and industry best practices in all operations
- Identify operational gaps and propose practical solutions to improve processes and customer experience
- Collaborate with internal teams and overseas agents to deliver seamless travel experiences
- Prepare regular operational reports and provide insights for continuous improvement
- Perform ad‑hoc duties and provide support during peak periods as assigned
- Commit to working on weekends and public holidays as part of shift work requirements
Required competencies and certifications
- Commitment to weekend and public holiday shift work.
- Ability to manage and operate a night hotline.
Preferred competencies and qualifications
- 1‑3 years of experience in logistics management and operations management
- Strong knowledge of logistics and operations processes to support travel arrangements and service delivery
- Proficiency in timeline management to ensure timely delivery of services
- Excellent organizational skills to handle multiple tasks and maintain accuracy
- Strong problem‑solving skills to address operational challenges and improve processes
- Ability to work effectively in a fast‑paced environment
- Strong attention to detail and accuracy in preparing documents and managing bookings
- Excellent communication and interpersonal skills to liaise with agents, suppliers, and team members
- Proficiency in MS Office Suite and other relevant software applications
- Entry‑level candidates or those new to the workforce with the right attitude will also be considered
