We’re looking for an enthusiastic Operations Executive to be a key part of our growing team!
The Operations Executive plays a key role in ensuring that the school transportation system runs safely, efficiently and reliably. This position oversees the day-to-day logistics of bus operations, manages drivers and routes and ensures compliance within our clients and the school community.
1. Route Planning and Optimization
• Continuously review and optimize routes to minimize travel time and improve cost efficiency.
• Adjust routes proactively based on traffic, road closures, or changes in student enrollment.
• Analyze GPS data and performance metrics to refine route planning.
2. Fleet Management
• Ensure all buses are maintained in proper working condition and meet safety inspection requirements.
• Oversee vehicle allocation for daily and ad-hoc routes to ensure fleet adequacy.
• Monitor performance and coordinate maintenance to maintain optimal operational readiness.
3. Safety and Compliance
• Implement and enforce all safety protocols for students and bus crew.
• Verify that all drivers hold valid licenses, certifications, and have completed required training.
• Conduct regular safety audits, refresher training, and emergency response drills.
• Investigate incidents or complaints promptly and implement corrective measures.
4. Driver and Crew Management
• Supervise and support school bus drivers and bus monitors to ensure professionalism, safety, and punctuality.
• Reinforce adherence to internal SOPs and road safety regulations.
• Encourage accountability and continuous improvement through coaching and feedback.
5. Student Safety and Behavior Management
• Ensure clear communication of bus safety rules to students.
• Oversee discipline reporting through the Green Form system and follow up with relevant parties.
• Support bus monitors in managing student behavior appropriately.
6. Technology and Data Management
• Utilize GPS and transportation management systems to monitor real-time bus movement.
• Track punctuality and performance at various route checkpoints.
• Use data insights to drive route optimization and incident prevention.
7. Emergency and Contingency Response
• Follow established emergency procedures for accidents, breakdowns, and severe weather.
• Coordinate response, documentation, and reporting for all incidents.
• Ensure timely communication with parents, the school, and management during disruptions.
8. Daily Bus Operations
• Oversee smooth and timely daily arrival and dismissal operations.
• Manage traffic flow with school security.
• Resolve operational issues promptly on-site.
• Manage scheduling and dispatch of ASA buses.
• Ensure accurate attendance and safe student drop-offs.
9. Address Change Management
• Review updates on address change requests.
• Verify new addresses for safety, accessibility, and route efficiency.
• Maintain an up-to-date log and ensure timely implementation.
10. Ad-Hoc and Field Trip Bus Requests
• Receive, log, and verify details of all ad-hoc bus bookings.
• Allocate buses, drivers, and attendants according to availability and requirements.
• Communicate booking confirmations, updates, or constraints promptly.
• Maintain detailed documentation for audit and billing purposes.
• Provide ground support during school events, ensuring punctuality and problem resolution.
11. Compliance & Documentation
• Ensure all vehicles have valid inspections and insurance.
• Maintain accurate operational records and audit-ready documentation.
