Job description

This role will oversee the day-to-day operations of the lounge and ensure an exceptional experience for all visitors. This role goes beyond front-of-house duties, encompassing vendor management, event coordination, operational upkeep, and administrative responsibilities. The position requires strong organizational skills, attention to detail, and the ability to lead and supervise contracted and partner staff to maintain high standards of hospitality and service.

Key Responsibilities
  • Lounge Operations & Vendor Management
  • Supervise and guide contract staff to ensure smooth lounge operations and adherence to service standards
  • Liaise with vendors regularly to ensure food & supplies are sufficient for lounge operations
  • Manage ordering and receiving of goods to maintain lounge upkeep (e.g., magazine subscriptions, water dispenser filters, scent refills, coffee capsules)
  • Event Coordination
  • Coordinate, and provide logistical and on-the-ground support for events
  • Ensure all event-related requirements are met, including space setup, F&B, speaker arrangements and guest experience
  • Administrative & Financial Management
  • Manage appointments/ reminders/ confirmations/ appointment tracking and rescheduling
  • Prepare and process Expense Approval Forms (EAF) and handle billing-related matters
  • Maintain accurate records of invoices and payments for lounge-related services
  • Manage the lounge booking email inbox: reroute inquiries, elevate issues, and handle bookings promptly
  • Inventory & Asset Management
  • Track and manage inventory of gifts, parking coupons, and other lounge assets
  • Ensure proper safekeeping and documentation of all items
  • Contract Staff Performance & Compliance
  • Conduct monthly performance reviews for contract staff assigned to the lounge
  • Implement appropriate processes for servicing customers/visitors in a customer-centric manner, in accordance with Good hospitality Industry Practice.
  • Maintain site-wide knowledge of building facilities, meeting room locations, special events, and surrounding amenities relevant to the role.
