Job Summary

The Legal Secretary provides primarily secretarial and administrative support to 4 to 5 lawyers in an international law firm. The work involves effective multi-tasking, managing instructions from multiple sources and everyday office tasks. The role requires a high degree of organisation and meticulousness. They must also be well-versed in legal technologies (e.g., practice management systems) and office productivity tools (e.g., word-processing, presentation, and database software) which are regularly used in the course of their work.

Key Responsibilities
  • Case file opening/closing and archive closed file to warehouse
  • Prepare engagement letters, legal documents, and business correspondence such as cover letters and emails
  • Perform common risk management and compliance procedures such as checking KYC documents received from clients
  • Perform ACRA company searches for due diligence
  • Time entry for partner(s) and associates
  • Prepare bundles for trials/hearings
  • Prepare proforma invoices using 3E Elite, draft and engross bills, send invoices to clients etc
  • Monitor payments and outstanding invoices
  • Diary management, expense claims and travel, gift, and courier arrangements
  • Booking of meeting rooms and covering reception as and when needed
  • Maintain information management processes using iManage data management system
  • Identify and use the key legal terminology and standard forms and precedents involved in area of specialization.
  • Use feedback and reflection for professional improvement
  • Other ad-hoc duties assigned
Requirements
  • Have at least 3-4 years experience in an international law firm, preferably with working experience in construction disputes work
  • Good working attitude
  • Accurate, self-initiated and responsible
  • Communicate and coordinate with all related parties clearly and effectively
  • Excellent attention to details, able to prioritise workload and work in an organised manner
  • Work independently even under time constraints
  • A self-motivated team player
  • Proficient in MS Office applications such as Office 365, Word, Excel and PowerPoint
  • Immediate availability preferred
