We are a growing beauty retail and services company looking for a proactive and meticulous HR & Operations Executive to join our team. You will play a key part in supporting both HR and daily operational activities to ensure smooth business performance. You will handle HR functions such as recruitment, payroll, employee records, and compliance, while also coordinating retail outlet operations, staff scheduling, and administrative tasks. The ideal candidate is organized, service-oriented, and able to manage confidential information with professionalism and integrity in a fast-paced retail environment.

Key Roles & Responsibilities
1. Recruitment
  • Full-Cycle Recruitment: Manage end-to-end hiring for retail and office positions — from sourcing, screening, interviewing, and shortlisting to offer and onboarding.
  • Proactive Sourcing: Actively search for candidates through job portals, social media, referrals, and networking. Reconnect with past candidates or talent pipelines for new openings.
  • Proactively reach out and maintain consistent engagement with potential candidates to attract and secure qualified talent for interviews and hiring. Conduct pre-screening calls to assess suitability, availability, and salary expectations.

  • Schedule and conduct first-round interviews, coordinating with hiring managers for subsequent rounds.
  • Follow up closely to secure candidate commitment and manage the offer-to-join process smoothly.
  • Employer Branding: Represent the company professionally to attract quality talent and create a positive candidate experience.
  • Recruitment Reporting: Maintain recruitment trackers (applications, interviews, offers, hires) and report hiring progress and challenges to management.
2. HR Operations
  • Support the full spectrum of HR functions, including recruitment, onboarding, and offboarding processes.
  • Assist in developing and implementing HR policies, procedures, and employee handbooks.
  • Maintain and update employee records, attendance, and leave management accurately.
  • Handle employee queries and assist in resolving HR-related issues in a professional and discreet manner.
  • Ensure compliance with Singapore employment laws, CPF, and MOM regulations.
  • Prepare employment contracts and other HR-related documentation.
  • Assist in work pass applications, maternity leave, and childcare leave administration for office and retail staff.
3. Payroll, Commissions & Benefits
  • Process monthly payroll, commissions, and incentive payouts accurately and on time.
  • Manage CPF contributions and statutory submissions.
  • Support reviews of salary and benefits structures to ensure market competitiveness.
  • Handle payroll and commission-related queries with confidentiality and accuracy.
4. Staff Performance Learning & Development & Performance Support
  • Coordinate staff training sessions and track attendance and completion.
  • Assist in monitoring staff performance and follow up on performance-related matters when required.
  • Support employee engagement and recognition activities.
  • Conduct training needs with Retail/Operations to build training plan (product knowledge, service standards, upselling, hygiene/safety, supervisory skills).
5. Operational Support
  • Coordinate staff schedules, rosters, and manpower allocation for retail outlets.
  • Liaise with retail and operations teams to ensure smooth daily operations.
  • Conduct regular outlet checks (e.g., staff records, attendance, compliance).
  • Assist in staff outlet handovers and other administrative processes.
6. Confidentiality & Professional Conduct
  • Maintain strict confidentiality of all employee and company information at all times.
  • Handle sensitive matters with discretion, professionalism, and tact.
  • Uphold company values and represent the HR function with integrity.
  • Perform other HR or administrative duties as assigned to support business and operational needs.
Requirements
  • Minimum Diploma qualification with at least 3 years of relevant experience in HR, operations, or administrative support, preferably in retail or service-oriented industries.
  • Solid understanding of Singapore employment laws, CPF, and MOM regulations.
  • Hands-on experience in payroll processing and commission calculations.
  • Proficient with HR systems or HRMS software (advantageous).
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Demonstrates high integrity, confidentiality, and accountability.
  • Willing to work on-site at both office and retail outlets when required.
