Job summary

VFI FOOD PTE. LTD. is seeking an experienced Import/Export Operations Specialist to manage daily shipments, documentation, and regulatory compliance in Singapore.

You will handle TradeNet permits, COO, invoices, packing lists and other shipping documents while ensuring accuracy and adherence to regulations. Coordinate with overseas customers, suppliers, freight forwarders, and internal teams to ensure timely, compliant shipment execution and cost control.

Qualifications

• Diploma or Degree in Supply Chain, Logistics, Business, or related field.
• 3–5 years of import/export operations experience, preferably in food manufacturing/trading.
• Strong knowledge of Singapore Customs, TradeNet and SFA.
• Experience handling controlled food items and permits, shipping docs and international freight.
• Proficient in MS Office and ERP or trade management systems.
• Strong planning, coordination, analytical and problem-solving skills.
• Ability to work independently and meet tight deadlines in a fast-paced environment.
• Proficiency in English; Mandarin is an advantage.

Responsibilities

• Manage daily import and export operations, ensuring timely processing of shipments.
• Prepare, review, and process import/export documentation (COO, invoices, packing lists, B/L, health certificates).
• Ensure compliance with Singapore Customs, SFA, and regulatory requirements.
• Coordinate with overseas customers, suppliers, forwarders, shipping lines, and brokers.
• Monitor shipment schedules and resolve clearance, shipping, delivery, or documentation issues.
• Liaise with Production, Warehouse, Procurement and Sales to coordinate orders and inventory movement.
• Coordinate container loading, cargo collection and delivery arrangements.
• Verify shipping costs, freight invoices, permits and supporting documents for accuracy.
• Maintain accurate import/export records for audits and regulatory compliance.
• Monitor changes in trade regulations and FTAs and ensure compliance where applicable.
• Support continuous process improvements to enhance efficiency, cost and service.
• Prepare periodic shipment, inventory and logistics reports as required by Management.
• Perform any other duties assigned by Management.
