6 Months Contract

Monday - Thursday 8.30am - 6pm

Friday 8.30am - 5.30pm

Join us as a Finance & Grants Executive and play a vital role in supporting research activities through effective financial administration, budgeting, and grant management. You will work closely with researchers and internal stakeholders to ensure accurate financial reporting and compliance with grant requirements.

Key Responsibilities
1. Financial & Grant Budget Management
  • Prepare manpower budgets based on project requirements and ensure accurate use of approved costing rates.
  • Verify budget availability and manpower headcount for project hiring requests.
  • Conduct monthly checks with project leads to confirm manpower allocation and utilisation.
  • Update SAP to ensure staff costs are charged correctly to respective grants.
  • Track actual expenditure against approved budgets and investigate discrepancies.
  • Ensure bonuses and related manpower costs are allocated correctly.
  • Monitor grant utilisation and alert project teams of low balances.
2. Fund Requisitions & Reporting
  • Prepare timely and accurate fund requisitions and final statements of accounts.
  • Ensure manpower utilisation is correctly reflected in all submissions.
  • Reconcile accounts and explain variances or reclassifications.
  • Review expenditure submissions and proactively address recurring issues to support faster reimbursement.
3. Audit Support
  • Prepare supporting documents for grant audits.
  • Respond to auditors’ queries and explain expenditure variances.
  • Work with auditors to resolve any issues efficiently.
4. General Support
  • Perform other finance or administrative duties as required to support research grant operations.
Requirements
  • Degree in Business Administration, Finance, Accounting, or a related field.
  • 1–2 years of experience in finance operations, research administration, or grant management (advantageous but not mandatory).
  • Strong communication and interpersonal skills.
  • Able to work independently and in a team environment.
  • Proficient in Excel with strong attention to detail.
  • Experience with SAP will be an advantage.
