As part of the Venue Operations team at Singapore EXPO, you will take ownership of the full inventory and logistics lifecycle that supports MICE events — from procurement and preparation to on-site deployment and post-event recovery. You will work closely with internal teams, vendors, and contractors to ensure all physical assets, consumables, and set-up resources are properly maintained, accounted for, and deployed on time. Inventory Management and Resource Planning
- Manage the lifecycle of event inventory — from planning and deployment to post-event return and tracking.
- Maintain up-to-date inventory records for all assets, consumables, and operational materials.
- Plan for and manage the deployment of manpower (e.g., setup crew) to support event set-up, tear-down, and logistic movement.
- Monitor stock levels and usage trends of consumables to prevent overstocking or shortages and support forecasting needs.
- Coordinate annual stocktake exercises with the Finance team, ensuring all inventory is properly accounted for.
- Plan for asset renewal, repair, or write-off based on condition, lifespan, and operational needs.
- Organise and maintain warehouse and storage areas with proper labelling, zoning, and accessibility for operational efficiency.
- Develop and maintain SOPs for inventory movement, asset handling, and storage procedures.
Event Logistics Execution and Venue Readiness
- Plan, coordinate, and execute all logistical and physical set-up requirements for exhibitions, conferences, and events.
- Convert organiser requirements into clear set-up instructions for on-ground execution.
- Oversee the physical set-up and tear-down of venue spaces in coordination with internal teams and vendors.
- Ensure meeting rooms and event spaces are clean, properly configured, and guest-ready in line with operational and brand standards.
- Support client handover and takeover processes, including last-minute adjustments.
- Liaise with cleaning vendors to coordinate post-event restoration of soiled assets such as linens, carpets, and chairs.
Vendor Management and Procurement Support
- Support procurement activities by sourcing quotations, raising purchase orders, and tracking deliveries.
- Evaluate vendor performance annually or as needed to assess quality or service and reliability.
- Track procurement timelines and align purchasing activities with operational schedules and event timelines.
- Ensure proper documentation, invoicing, and closure of procurement and vendor-related tasks.
- Undertake additional duties and cross-functional support tasks as assigned by the Reporting Officer from time to time.
Qualifications
- Minimum NITEC or Diploma.
- At least 3 years of relevant experience, preferably in service and/or ground operations management.
- Meticulous, reliability, honesty, independent and a team player.
- Proven experience in inventory management, warehousing, or event logistics is required.
- Strong attention to detail and ability to manage multiple moving parts simultaneously.
- Capable of lifting and moving heavy objects and performing physical tasks required for set-up and tear-down.
- Ability to think on your feet and react to unexpected challenges with effective solutions.
- Excellent communication skills with good command of written and spoken English.
- Proficient in Microsoft Office applications (Word, Excel and Powerpoint).
- Able to work a 5.5 days work week.
