Job summary

Executive Assistant to the CEO (Senior / Strategic Role)

East Coast Podiatry is internationally recognised as one of Asia’s leading podiatry practices, with clinics in Kembangan, Orchard, Novena, Bukit Timah, and Marine Parade. We specialise in the conservative management of foot, ankle, and lower limb conditions, treating a wide range of patients locally and internationally. Our head office is located at Lower Delta Road.

The Opportunity

This role goes beyond traditional administrative support and is ideal for a seasoned Executive Assistant who thrives in a high-trust, high-impact environment. You will work closely with the CEO on strategic, operational, and confidential matters, supporting business execution across the organisation.

The role includes accompanying the CEO on overseas business trips, sometimes on short notice, and therefore requires flexibility, maturity, and comfort working closely with senior leadership in a professional setting.

Key Responsibilities
Strategic & Executive Support
  • Act as a strategic partner to the CEO, supporting planning, execution, and follow-through of key initiatives
  • Anticipate priorities and proactively manage deadlines, risks, and deliverables
  • Prepare executive-level briefs, presentations, reports, and correspondence
Stakeholder & Leadership Coordination
  • Serve as a key liaison between the CEO and senior management, internal teams, and external partners
  • Attend selected meetings on behalf of the CEO, track action items, and ensure timely execution
  • Handle highly confidential and sensitive matters with discretion and professionalism
Business Operations & Oversight
  • Track strategic and cross-functional projects to ensure alignment with organisational goals
  • Assist in reviewing proposals, contracts, and business documents
  • Support governance, compliance, and internal processes where required
Overseas Travel & Executive Support
  • Accompany the CEO (male) on solo overseas recruitment and business trips, typically lasting one week or longer
  • Provide on-the-ground logistical, scheduling, and administrative support during travel
  • Assist with meeting coordination, documentation, and itinerary management
  • Be comfortable with occasional short-notice travel; all travel-related expenses will be covered by the company
Calendar, Travel & Priority Management
  • Manage complex scheduling across multiple stakeholders and time zones
  • Coordinate business travel arrangements, itineraries, and logistics
  • Ensure the CEO’s time is optimised for high-impact activities
Ad-hoc & Special Projects
  • Support leadership initiatives, expansion plans, and time-sensitive projects
  • Act as a problem-solver in fast-moving or high-pressure situations
Requirements
  • Bachelor’s Degree in Business Administration, Management, or a related field
  • Minimum 5–8 years of experience supporting C-suite or senior leadership
  • Prior experience in a senior Executive Assistant, Chief of Staff–like, or strategy support role is highly preferred
  • Comfortable with frequent overseas travel and working closely with a senior male executive in a professional capacity
  • Strong business judgment, organisational skills, and attention to detail
  • High level of discretion, maturity, and professionalism
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office / Google Workspace; strong presentation skills
