🕗 Office Hours: 8.30am – 6pm, Monday to Friday

About the Role

We are looking for an Executive Assistant / Senior Executive Assistant to provide specialised operational and administrative support within the Operating Theatre (OT). You will play a key role in OT scheduling, patient communication, and coordination with clinical teams to ensure smooth daily operations.

Key Responsibilities
Operating Theatre Scheduling & Coordination
  • Manage daily OT scheduling and finalise OT listings for timely dissemination.
  • Coordinate closely with Clinics, Doctors, and Anaesthetists on case arrangements.
  • Ensure accurate scheduling and optimal utilisation of OT resources.
  • Finalise and release daily OT listings within stipulated timelines.
Patient Communication & Reminders
  • Contact patients to remind them of surgery reporting time, location, and fasting instructions.
  • Ensure all pre-operative calls are completed.
  • Maintain professional phone etiquette and ensure accurate documentation of all call logs.
  • Address surgery‑related patient queries promptly.
Emergency OT (EOT) Case Management
  • Coordinate emergency cases with Doctors, Anaesthetists, OT Nurses and Radiographers.
  • Ensure accurate documentation and adherence to prioritisation protocols.
  • Handle fast‑paced and dynamic changes efficiently.
General Administrative & Support Duties
  • Assist in resolving customer feedback and managing daily email requests.
  • Collate statistics and prepare required reports.
  • Guide and support junior staff where needed.
  • Perform any other duties assigned by Reporting Officer or supervisors.
Requirements
  • Diploma from a recognised institution.
  • At least 2 years of relevant working experience preferred.
