Event Coordination Specialist (6 months)
  • Serve as the primary point of contact for clients and external partners regarding event-related logistics.
  • Facilitate and maintain effective working relationships with internal teams across various functions.
  • Manage accurate and timely data entry for events in the relevant systems.
  • Ensure required documents are submitted correctly and within established deadlines.
  • Initiate payments to external contributors shortly after event completion.
  • Coordinate, track, and respond to escalated inquiries within agreed service levels.
  • Monitor event timelines throughout the service lifecycle to ensure compliance with key deadlines.
  • Provide system access to clients and partners and act as the first point of escalation for related issues.
  • Ensure clients and external partners are informed about relevant policies, procedures, and guidelines.
  • Review and approve or reject travel-related requests based on policy and budget considerations.
  • Monitor itineraries to ensure expenses are allocated correctly and remain within budget.
  • Recommend improvements to processes and systems to enhance logistics efficiency and user experience.
  • Suggest updates to guidelines and templates to strengthen support for clients and partners across multiple languages.
  • Prepare for and oversee inspection or audit-related events, coordinating with multiple stakeholders to ensure timely delivery.
  • Contribute to cross‑functional projects by representing the operations perspective and providing process and system insights.
  • Lead initiatives aimed at improving process efficiency and system capability within event logistics.
