Role Overview

We are seeking a highly motivated, detail-oriented, and capable Client Admin Support Executive to join our team. This role is pivotal in supporting the Head of Business Development and ensuring the smooth operation of our client servicing capabilities.

The ideal candidate will bridge the gap between front-line client interaction and back-office administration. You will be responsible for managing the client onboarding lifecycle (KYC), maintaining CRM data integrity, coordinating schedules, and ensuring that all client documentation meets strict regulatory compliance standards.

Key Responsibilities
1. Client Onboarding & Compliance Support
  • Onboarding Management: Execute a meticulously organized administrative onboarding process. Ensure all client documentation is accurately completed, filed, and meets regulatory standards.
  • KYC Coordination: Coordinate with the Compliance team to collate Know Your Client (KYC) documents for new onboarding and periodic reviews.
  • Document Precision: Ensure all compliance-related forms are completed with exceptional accuracy and neatness. Anticipate compliance needs and prepare documents in advance to minimize errors.
2. Client Service & Communication
  • Communication: Answer telephone calls and reply to email enquiries using standard templates, ensuring a professional tone at all times.
  • Guest Management: Welcome guests and clients visiting the office, ensuring a professional first impression.
3. CRM & Data Management
  • Data Entry: Key in new leads and prospects into the CRM system promptly.
  • System Integrity: Maintain and update the CRM system with diligence. Ensure all client data, interaction logs, and transaction activities are accurately recorded.
  • Audit & Review: Proactively identify and rectify discrepancies in client records to ensure high data integrity.
4. Administrative & Operational Support
  • Calendar Management: Coordinate schedules for the Head of BD/Investment team for client meetings.
  • Documentation Systems: Utilize company resources to develop and maintain a filing system (digital and hard copy) that guarantees easy retrieval of active sales files.
  • Reporting: Prepare weekly updates on outstanding client requests and documents that require follow-up.
  • Meeting Support: Sit in on meetings with Sales Managers when needed to take detailed minutes and record action items.
5. Event & Project Support
  • Event Logistics: Assist in the detailed planning and coordination of client events, roadshows, and webinars.
  • Execution: Maintain detailed checklists and timelines to ensure the logistical success of marketing events.
Requirements
Ideal Candidate
  • Diploma, Bachelor's degree, or equivalent qualification in finance, economics, business, or a related field with a strong interest in the financial services
  • 1-3 years of experience in client services or a related administrative role, preferably within finance or asset management.
  • Exceptional organisational skills and a meticulous approach to document administration and data entry.
  • Ability to maintain accurate and well‑organised records in a fast‑paced environment.
  • Strong commitment to accuracy and neatness in all administrative tasks.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), preferably with advanced skills in data management and formatting.
  • Experience with CRM systems (e.g., Salesforce) and the ability to leverage them for efficient client management will be an advantage.
  • Ability to quickly learn and adapt to new software and digital tools.
  • Reliable and dependable individual who takes ownership of tasks and consistently meets deadlines.
  • Proactive problem‑solver with the ability to anticipate needs and take initiative to address them.
