Job summary

A leading logistics company in Singapore is seeking a skilled Operations Executive to manage shipping documentation and coordinate logistics operations. The successful candidate will have at least 5 years of experience in international shipping, specifically with container shipments and bulk vessels. Responsibilities include liaising with various stakeholders, preparing operational documents, and ensuring compliance with shipping regulations. This is a full-time position based in Singapore.

Responsibilities

  • Coordinate end‑to‑end operations for shipments via container, ISO tanks, flexi-bags, and bulk vessels.
  • Prepare and manage all operational documents including packing lists, certificate of origin, and BL.
  • Liaise with suppliers, shipping lines, freight forwarders, and certification bodies.
  • Ensure compliance with ISCC requirements and maintain accurate documentation.
  • Track freight costs, demurrage, and detention.

Job description

We are looking for a highly skilled and detail-oriented Operations Executive with a minimum of 5 years’ experience in international shipping and trade operations. The ideal candidate must have strong hands‑on experience with container shipments, ISO tanks, and bulk vessel operations, along with a solid understanding of global logistics workflows.

This full‑time Singapore‑based role involves managing end‑to‑end documentation, coordinating with shipping lines, freight forwarders, depots, and inspection agencies, and ensuring timely execution of all export/import processes. The candidate must be proficient in preparing invoices, shipping documentation (BL, COO, insurance, packing list, certificates, test reports), and resolving operational issues swiftly. A strong ability to multitask, communicate effectively, and ensure smooth cargo movement across multiple regions is essential.

Key Responsibilities
  • Coordinate end‑to‑end operations for shipments via container, ISO tanks, flexi‑bags, and bulk vessels
  • Prepare and manage all operational documents including:
    • Packing lists
    • Certificate of origin
    • BL/Express BL/Surrendered BL
    • Shipping instructions
  • Liaise closely with suppliers, shipping lines, ISO tank operators, freight forwarders, tank terminals, surveyors (Intertek/SGS/Saybolt), buyers, and certification bodies
  • Follow up on loading schedules, ETD/ETA updates, booking confirmations, and vessel coordination
  • Ensure compliance with ISCC requirements and maintain accurate documentation for audits
  • Track freight costs, demurrage, detention, and coordinate timely release of BL and cargo documents
  • Support finance team with documents for LC, DP, DA, and other banking requirements
  • Prepare daily and weekly operational reports for management
  • Resolve operational issues promptly to avoid delays and penalties
