This role is hired on a 3 months temporary contract.
Career Development Centre (CDC), which itself is one of six departments in SUTD’s Student Experience & Transformation (SET) group. They are seeking a highly organized and proactive candidate to support the smooth execution of our programme as part of SUTD's new initiatives. This candidate will help to facilitate the VMock assessment process, manage student logistics, coordinate with vendors and IT/AV, maintain databases, and ensure accurate documentation and communication throughout the programme cycle.
Key Responsibilities:
- Workshop Coordination
- Attend to queries relating to programme workshops.
- Re-allocate students to alternative sessions when necessary.
- Book classrooms and coordinate logistics (such as engaging IT/AV) for each class.
- Attendance Management
- Create attendance sheets for trainers.
- Collect and consolidate attendance data into the student database.
- Contact absentees and arrange for make-up classes.
- Diagnostic tool, VMock, LinkedIn Assessment and Data Management
- Maintain and update the student database.
- Ensure students complete the VMock test and send reminders to those who have yet to complete it.
- Run reports on VMock to track the results of the assessment test.
- Segregate students by different result categories.
- Invite students who have yet to complete the assessments and survey to take part in it.
- Track and follow-up with students who have yet to make appointments with the Career Coaches to run through the diagnostic tool & life skills survey.
- DIVE FRC Milestone upload
- Track the completion status of students’ modules
- Upload students’ completion status on FRC for students from class of 2026, 2027, 2028 and 2029
- Forerunner Admin & Vendor engagement
- Engage caterer for the Forerunner kick-off event
- Confirm attendance of the students & mentors for the event
- Provide logistical support to the event such as room booking, AV & IT support, room setup coordination
Requirements:
- Proven experience in administrative support or coordination roles.
- Strong organizational, administrative and communication skills.
- Proficiency in Microsoft Office and database systems.
- Ability to multitask and manage time effectively.
