Job summary

Young Men's Christian Association of Singapore is seeking an Assistant in the Human Resources Department to provide administrative and coordination support. You will help manage employee benefits, payroll-related matters, HR systems, and data entry while upholding confidentiality and accuracy.

Responsibilities include handling leave records, HRMS administration, generating HR reports, liaising with payroll vendors, and supporting HR projects.

Qualifications

  • Fresh Diploma from Polytechnic in HRM, Business Administration, or related discipline with 2 to 3 years of relevant experience in a similar HR role.
  • Sound working knowledge of the Employment Act and established human resource practices.
  • Hands-on experience with HRMS for operational administration and reporting.
  • Proficient in Microsoft Office applications, particularly Excel (Pivot Tables and VLOOKUP), as well as PowerPoint, Word, and Forms.
  • Demonstrates the highest standards of integrity, professionalism, and confidentiality in handling sensitive information.
  • Good verbal and written communication skills in English, with a professional and articulate manner.
  • Strong interpersonal skills, with the ability to engage confidently and effectively with stakeholders at all levels.
  • Able to work independently with minimal supervision, as well as collaboratively within a team.
  • Meticulous, timeline-driven, and eager to learn, with a commitment to delivering high-quality outcomes.
  • Proactive, self-motivated, detail-oriented, and well-organized, with a strong sense of initiative and a positive working attitude.

  • Respond promptly and professionally to internal and external stakeholders, addressing queries and providing accurate information.
  • Verify, process, and administer employee benefit claims and entitlements.
  • Administer and maintain accurate leave management records.
  • Provide administrative support for employee awards and recognition processes.
  • Administer and maintain all modules within the HRMS, serving as the primary liaison with the HRIS vendor for system issues, enhancements, and ongoing maintenance, while ensuring strict compliance with access controls and data security protocols.
  • Support HRMS-related projects, including system enhancement, testing and implementation activities.
  • Generate, prepare and analyse HR reports, including payroll, headcount, attrition, overtime, leave reports, etc.
  • Verify and coordinate payroll-related matters with internal stakeholders and external payroll vendors, ensuring the accurate, timely, and confidential processing of monthly payroll, while maintaining compliance with statutory requirements and company policies.
  • Accurately key in and maintain employee data into HRMS, ensuring strict confidentiality and compliance with data protection policies.
  • Manage personnel files (P-Files) within HRMS, ensuring secure handling and integrity of sensitive employee information.
  • Perform general administrative duties, including raising payments for invoices, procurement of pantry supplies and stationery, distribution of letters, and processing of name cards and invoices.
  • Support and participate in HR projects and initiatives as assigned, contributing to effective planning, execution, and successful completion.

JOB SUMMARY
