Job description

An Administrative Officer assists the Office Manager in supporting the Company operations and administrative systems in ensuring the smooth running of the organization.

The Administrative Officer responsibilities shall include filing, sorting, printing, circulation, storage and archive of all Company’s documentation, handling of all incoming calls and inquiries via Company’s emailand/or telephone calls and providing support to all departments when required.

Responsibilities and Duties
  • Provide general administrative support to all departments and Directors.
  • Act as the main point of contact for visitors and callers, including reception duties.
  • Undertake general administrative duties including filing, sorting, printing, circulation, storage and archive of all Company’s documentation.
  • Dealing with incoming and outgoing mail and general emails.
  • Ordering of equipment, materials and office supplies.
  • Type correspondences, reports, meeting minutes and other documents.
  • Maintain proper records of all staff & worker’s particulars, ensuring all the staffs’ work passes are valid.
  • Verification of staffs and workers attendance.
  • Issuing, monitoring and recording of office supplies and equipment utilization.
  • Assist in organizing Company’s event, eg. Press release, annual function, etc.
  • Assisting Contract Department in preparation of Tender documentation.
  • Monitoring serviceability of office equipment and contacting Vendor for maintenance.
  • Assist Office Manager in document management/document control.
  • Perform any other duties assigned by Office Manager and Management.
