Job summary

A facilities management company in Singapore is seeking a candidate for front desk management. Responsibilities include handling communications, supporting office administration, and managing inventory. The ideal candidate will have 3 to 5 years of experience in admin roles, possess strong communication skills, and be proficient in Microsoft Office. This role operates Monday to Friday with working hours of 8:30 AM to 5:30 PM.

Qualifications

  • At least 3 to 5 years experience in receptionist, admin, or general affairs role.
  • Proficient in Microsoft Excel, Word, and email.
  • Experience in Purchase Requisitions process, vendor coordination, and office administration is an advantage.

Job Description
  • Manage front desk operations including staff check-in/out and answering main phone lines
  • Handle incoming and outgoing mails, courier arrangements (UPS, OCS), and document tracking
  • Assist with meeting room bookings and office equipment (Jabra devices)
  • Support General Affairs (GA) team with office administration and daily operations
  • Coordinate with vendors for office maintenance, repairs, and facilities matters
  • Raise Purchase Requisitions for stationery, pantry items, PPE, office supplies, and renovations
  • Conduct inventory checks and ensure timely replenishment of office supplies
  • Manage PPE sourcing, ordering, packing, and distribution to staff and engineers
  • Oversee cleaners and ensure daily reporting compliance
  • Manage access cards and office keys for all sites
  • Assist with office events, staff distributions, and administrative support
  • Send company-wide email notifications (lost & found, office cleanliness, announcements)
  • Provide administrative support for travel/visa matters when required
Job Requirements
  • Minimum Diploma / N-Level / O-Level qualification
  • At least 3 to 5 years experience in receptionist, admin, or general affairs role
  • Good communication and interpersonal skills
  • Able to multitask and work independently
  • Proficient in Microsoft Excel, Word, and email
  • Organized, responsible, and detail-oriented
  • Experience in Purchase Requisitions process, vendor coordination, and office administration is an advantage

Location: Wood Square @ Woodlands

Working Hours: Monday – Friday 8.30am to 5.30pm
