Job summary

A leading Food & Beverage operator is looking for an Administrative Assistant / Executive in Singapore to support the Facilities & Maintenance team. You will manage administrative systems, track documentation, and ensure smooth operations. The ideal candidate should be organized and proficient in Microsoft Office, particularly Excel. Experience in facilities or project environments is preferred, but training will be provided for candidates without experience.

Qualifications

  • Experience in Facilities Administration, Maintenance Support, or Project environments is preferred.
  • Proficient in Microsoft Office, especially Excel for tracking and reporting.
  • Good interpersonal and coordination skills for teamwork.

With a large portfolio of operational sites, we are seeking a reliable Administrative Assistant / Executive to support our Facilities & Maintenance team in ensuring smooth day-to-day operations.

Job Description
  • Maintain and manage facilities-related administrative systems, ensuring accuracy of records and information.

  • Prepare, track, and ensure timely submission of facilities documentation, work orders, and reports to relevant parties.

  • Support facilities projects, maintenance schedules, and vendor coordination through proper documentation and follow-up.

  • Work closely with internal stakeholders and the Facilities team to ensure operational feasibility and timely execution of works.

  • Assist in tracking service contracts, maintenance records, and related documentation.

  • Perform any other ad-hoc administrative duties assigned by the Facilities team.

Requirements
  • Preferably with experience in Facilities Administration, Maintenance Support, or Interior Design / Project environments.

  • Proficient in Microsoft Office, especially Excel (tracking, logs, reports).

  • Good interpersonal and coordination skills to work with internal teams and external vendors.

  • Organised, detail-oriented, and able to manage multiple tasks.

  • Candidates with no relevant experience are welcome to apply; training will be provided.
