Admin / Accounts Assistant

(Glass & Aluminium Subcontractor)

Location: Singapore
Employment Type: Full-time

Industry: Glass & Aluminium / Construction Subcontractor

Key Responsibilities

Procurement & Supplier Coordination

  • Prepare and place purchase orders for glass, aluminium, hardware, and related materials

  • Follow up and chase suppliers on order status, delivery schedules, and outstanding items

  • Liaise with suppliers on pricing, invoices, and delivery discrepancies

Inventory Management

  • Maintain inventory records for materials in and out of warehouse/site

  • Coordinate with site supervisors on material issuance and returns

  • Assist to develop digital inventory management system and ensure inventory records are accurate and updated regularly

Administrative & Accounts Support

  • Assist with invoice checking, matching POs and delivery orders

  • Support basic accounts tasks such as data entry, filing, and record keeping and look into digitalisation of processes

General Support

  • Assist management with ad-hoc administrative and operational tasks as required

  • Support coordination between office, site teams, and suppliers

Requirements
  • Diploma

  • Basic knowledge of procurement and inventory tracking

  • Familiar with Microsoft Excel, Word, and basic accounting software (e.g. AutoCount, Xero, QuickBooks – advantage)

  • Able to work independently and follow up matters proactively

  • Good organisational skills and attention to detail

  • Comfortable communicating with suppliers and site personnel

  • Ability to handle multiple tasks and meet deadlines

Preferred (Advantage)
  • Familiar with delivery orders (DO), purchase orders (PO), and invoices
  • Mandarin-speaking (to liaise with suppliers) preferred
  • Passionate to automate manual tasks and digitalise workflows to improve processes
Salary & Benefits
