A non-profit organization in Singapore seeks an Admin Officer to provide comprehensive administrative support across departments. Key responsibilities include managing day-to-day operations, documentation, meeting coordination, and vendor relations. Ideal candidates should possess GCE ‘O’ Level or an ITE Diploma in related fields, along with strong organizational, communication skills, and proficiency in Microsoft Office and Google Workspace. The Admin Officer provides organisation-wide administrative and office support across multiple departments, including the Executive Director’s Office. This role plays a key part in ensuring the smooth and efficient day-to-day operations of the organisation through effective coordination, documentation, and office management support.
Programme, Department & Stakeholder Support: Provide general administrative support across departments, including documentation, data entry, and handling of non-confidential paperwork.
Take minutes of meetings and assist with meeting coordination when required.
Support the planning and execution of programmes, empowerment initiatives, outreach activities, and events.
Assist with surveys, feedback collation, and basic data organisation and reporting.
Coordinate with vendors on quotations, logistics, and service delivery arrangements.
Support scheduling, calendar management, and administrative coordination for the Executive Director.
General Administration & Office Management: Manage general office administration, including filing, record-keeping, and document management (both physical and digital).
Take general meeting minutes as required.
Manage pantry supplies and ensure pantry areas are orderly and well-stocked.
Handle posting of mail and couriering of documents, cheques, and documents requiring Board of Directors’ signatures.
Coordinate office supplies, basic facilities matters, and subscriptions as assigned.
Manage incoming calls and respond to general public enquiries in a professional manner.
Education: GCE ‘O’ Level / ITE Diploma in Business Administration, Social Services, or a related field.
Strong organisational and multitasking skills with a high level of attention to detail.
Good written and verbal communication skills.
Proficient in Microsoft Office Suite and/or Google Workspace.
Comfortable using online platforms, databases, and basic digital tools.
Able to handle information with discretion, confidentiality, and professionalism.
Reliable, proactive, and service-oriented.
Able to work collaboratively across teams and manage competing priorities effectively.
Adaptable and willing to support a wide range of organisational functions as needed.
