Search Avenue Pte Ltd is hiring a Programme Administration Executive / Senior Executive to oversee end-to-end administration of assigned programmes from application to completion. The role requires handling multiple cases with accuracy, liaising with companies and trainees, and maintaining SOPs and records.
The Senior Executive level will manage more complex cases, conduct higher-level verifications, and guide junior team members where required. Working location is Tai Seng, Mon-Fri 9am–6pm.
Our client is a well-established organisation involved in supporting workforce development and skills-related programmes. We are seeking a Programme Administration Executive / Senior Executive to join the team and play a key role in ensuring the smooth and timely administration of programmes from application through to completion.
This role is ideal for someone who enjoys working in a structured environment, is comfortable handling multiple stakeholders and cases, and takes pride in getting the details right.
Manage the end-to-end administration of assigned programmes, including applications, enrolments, claims and funding support.
Review applications and supporting documents to ensure completeness, accuracy and compliance with programme requirements.
Liaise with participating companies and trainees to follow up on outstanding information, documentation and programme matters.
Process and verify claims, including training allowances, salary support and other funding-related submissions.
Perform calculations and administrative checks to ensure funding support is processed accurately and within the required timelines.
Maintain accurate and up-to-date records relating to programme participation, claims, payments and other administrative matters.
Prepare programme reports, supporting documents and records for internal monitoring, reviews and audits.
Handle enquiries from companies, trainees and other stakeholders, providing clear guidance on programme procedures and requirements.
Maintain programme SOPs, trackers, checklists and other operational documentation.
Monitor workflows and identify opportunities to improve processes, controls and administrative efficiency.
Support programme workshops, briefings, outreach activities and other events where required.
Undertake other programme and administrative duties as assigned.
GCE A-Level, Diploma or equivalent qualification in any discipline.
Prior experience in programme administration, operations, grants, claims processing, training administration or a related function will be an advantage.
Strong numerical and administrative skills, with a high level of accuracy and attention to detail.
Well-organised and able to manage multiple cases, priorities and deadlines effectively.
Comfortable working with Microsoft Office and digital/online administrative systems.
Good written and verbal communication skills, with the ability to engage confidently with different stakeholders.
A service-oriented and collaborative approach, with the initiative to follow through on tasks independently.
Able to work in a structured, process-driven environment while remaining adaptable when priorities change.
Candidates at Senior Executive level should be able to manage more complex programme cases independently, carry out higher-level verification and checks, and provide guidance or support to junior team members where required.
