Job summary

A maritime management company is seeking an Administrative Support professional to manage filing, maintain databases, and assist in operations. The ideal candidate will have at least 1 year of experience in administrative support, preferably in the maritime industry. Strong organization, coordination, and teamwork skills are essential, along with proficiency in Microsoft Office applications. This role is based in Singapore and offers a chance to contribute to maritime operations.

Qualifications

  • Minimum 1 year working experience in administrative support roles.
  • Experience in ship management and maritime industry is preferred.
  • Good work attitude and teamwork skills.
  • Excellent organization and coordination abilities.
  • Proficient in Microsoft Office applications.

Responsibilities

  • Update and maintain vetting status and questionnaire databases.
  • File Operations correspondence to ships.
  • Maintain records and filing systems.
  • Keep Ship Security Plans and certificates up to date.
  • Assist Operations Manager and Superintendent when needed.
  • Provide other administrative support as required.

Job description
Responsibilities
  • To update and maintain of vetting status, Q88, HVPQ and oil major questionnaire databases.
  • Filing of Operations correspondence to ships.
  • To maintain proper records and filing.
  • To maintain Ship Security Plans, CSR and ISSC certificates, record of Ship Security Alert tests.
  • To assist Operations Manager and Operations Superintendent as required.
  • Other administrative support as and when required
Requirement
  • Minimum 1 year working experience in administrative support roles
  • Experience in ship management and maritime industry is preferred.
  • Good team player with a good work attitude
  • Good organization and coordination skills
  • Proficient in Microsoft Word, Excel, Power Point
  • Prior exposure in the areas of Quality, Health, Safety and Environment would be an advantage
