Job summary

Dhahran Techno Valley is seeking an Events Coordinator to support planning and delivery of conferences, exhibitions, workshops, and partner events. You will manage logistics from briefing to on-site execution, collaborate with vendors, venues, and internal stakeholders, and ensure events run smoothly and on time.

The role is individual contributor, owning logistics for multiple events simultaneously and coordinating across DTV programs and entities.

Qualifications

• 3–5 years of experience in event planning, coordination, or production across corporate, institutional, or conference events.
• Proven experience managing vendors, quotations, and event budgets.
• Strong organizational skills with meticulous attention to detail.

Responsibilities

• Plan and coordinate events from brief through event day and post-event wrap up.
• Build event timelines, checklists, schedules, and operational plans.
• Source and manage vendors, venues, and contractors, including quotations and procurement support.
• Coordinate branding, AV, furniture, catering, and giveaways requirements.
• Conduct site visits and coordinate venue setup, logistics, and requirements.
• Manage registration, guest lists, and on-site operations.
• Coordinate VIP and guest arrangements, invitations, seating, access, parking, and hospitality.
• Ensure event branding and materials follow brand guidelines.
• Track budgets, quotations, invoices, and related documentation.
• Attend events, oversee on-the-ground execution, and resolve issues as they arise.
• Prepare post-event reports covering attendance, feedback, and lessons learned.
• Maintain a database of vendors, venues, and resources.
