Role Context
The Senior QA-QC Document Controller will provide structured control over quality-related information generated throughout the project lifecycle. The role supports engineering, construction, inspection, and quality teams by ensuring that records are correctly registered, updated, distributed, retained, and retrieved when required. Accurate documentation is essential for demonstrating compliance, closing inspections, resolving non-conformances, supporting audits, and completing project handover. The position therefore contributes directly to quality assurance by maintaining dependable records and preventing gaps, duplication, or uncontrolled document revisions.
Key Responsibilities
- Maintain organized control of QA-QC documents, inspection records, test reports, approvals, and associated project correspondence.
- Register incoming and outgoing quality documentation using approved document control procedures.
- Maintain document numbering, revision status, classification, and distribution records.
- Track Inspection Requests, Inspection and Test Plans, material approvals, quality reports, and supporting documentation.
- Coordinate document submissions between QA-QC personnel, engineering teams, contractors, consultants, and project management.
- Ensure approved documents and current revisions are available to authorized project personnel.
- Prevent uncontrolled, superseded, or obsolete documents from remaining in active circulation.
- Maintain electronic and physical quality records in accordance with established project requirements.
- Monitor document workflows and follow up on outstanding reviews, approvals, responses, and required corrective documentation.
- Support the administration of electronic document management systems and quality information repositories.
- Maintain accurate registers for non-conformance reports, corrective actions, observations, inspection documentation, and technical records.
- Verify that completed quality records contain required references, signatures, approvals, and supporting information before filing.
- Assist QA-QC teams with retrieval of historical records during inspections, technical reviews, and audits.
- Prepare document status summaries and identify missing or overdue quality documentation.
- Coordinate with construction teams to ensure inspection and testing records are submitted promptly.
- Support tracking and closure of documentation associated with non-conformance and corrective action processes.
- Maintain controlled records of quality procedures, plans, forms, checklists, and project standards.
- Support internal and external quality audits by providing accurate and traceable documentation.
- Protect confidential and controlled project information through appropriate access and records management practices.
- Ensure document metadata, filing structures, and electronic records remain consistent and searchable.
- Assist with compilation of quality dossiers, completion records, test packages, and final handover documentation.
- Maintain archived records in accordance with project retention requirements.
- Support project closeout by verifying that required QA-QC records have been collected, indexed, and transferred correctly.
- Prepare regular reports covering document status, outstanding submissions, workflow performance, and record completeness.
- Identify recurring document control issues and recommend practical improvements to strengthen accuracy and efficiency.
- Coordinate closely with other document controllers to maintain consistent project-wide information management practices.
Ideal Profile
- Relevant Diploma or Bachelor 's degree in Business Administration, Information Management, Engineering, Quality Management, or a related discipline.
- Senior-level experience in document control within construction, engineering, infrastructure, or major project environments.
- Practical experience managing QA-QC documentation and inspection-related records.
- Strong understanding of document registration, revision control, transmittals, workflows, filing, and archiving.
- Ability to manage large volumes of technical and quality documentation accurately.
- Familiarity with electronic document management systems and structured digital filing environments.
- Experience tracking inspection records, test documentation, non-conformance reports, corrective actions, and quality submissions.
- Good understanding of audit-ready document management practices.
- Ability to coordinate effectively with quality engineers, inspectors, contractors, consultants, and multidisciplinary teams.
- Strong attention to detail when checking document status, references, approvals, and revision information.
- Proficiency in Microsoft Office and common project document management applications.
- Ability to prioritize multiple document workflows within a demanding project environment.
- Good communication and organizational skills with a disciplined approach to information management.
- Experience supporting construction closeout and quality handover documentation is advantageous.
