Job summary

TRACTEBEL seeks a Project Design Coordinator for large thermal power projects, based in Jeddah/Riyadh, KSA. You will coordinate design reviews between the EPC contractor, Owner’s Consultant, and other stakeholders, ensuring timely deliverable approvals.

You will manage submissions, schedules, and communications, maintain comprehensive records, and support risk management and change control throughout the project lifecycle.

Qualifications

• Bachelor’s degree in Mechanical Engineering, preferably approved by the Saudi Council of Engineers.
• Ten years of relevant experience coordinating engineering deliverables on large Thermal Power Projects.
• PMP certification is an advantage.
• Strong organizational, time management and communication skills.

Responsibilities

• Act as primary point of contact between CONSULTANTs, EPC contractor, and stakeholders to manage engineering deliverables.
• Track submission, review, and approval of designs, drawings, specifications, and reports.
• Ensure timely dissemination of deliverables to all stakeholders.
• Develop and maintain a detailed schedule for deliverable reviews and submissions.
• Coordinate with CONSULTANT and EPC teams to align with project timeline and milestones.
• Organize regular meetings with stakeholders to review status and address issues.
• Prepare meeting agendas, minutes, action items, and follow-up on resolutions.
• Maintain records of submissions, approvals, revisions and correspondences.
• Support quality control measures to verify deliverable accuracy and completeness.
• Identify risks related to review/approval; maintain a risk register and mitigation plans.
• Assist in change management and report impact on scope, schedule, and budget.
• Prepare monthly progress/status reports for management and stakeholders.

Roles and responsibilities

The Project Design Coordinator to work on behalf of the Client and to be based in Client’s offices in Jeddah/Riyadh, KSA and handle thermal power generation project(s). He shall be responsible for the design review coordination between the EPC Contractor, Project Owner’s Consultant, all the stakeholders of the Owner including the HSE, Operations, IT, Security, etc.,

Experience and Skill set

Engineering Deliverables Coordination

• Responsibility under the Project Owner’s office to act as the primary point of contact between the CONSULTANT’s and other project stakeholders, including the EPC contractor, design consultants, and regulatory bodies, to manage the review and approval of engineering deliverables.
• Track the submission, review, and approval process for all engineering deliverables, including designs, drawings, specifications, and reports.
• Ensure timely dissemination of deliverables to relevant parties, keeping all stakeholders informed about the status and schedule of submissions.

Schedule Management

• Develop and maintain a detailed schedule for engineering deliverable reviews, approvals, and submissions.
• Coordinate with the CONSUTANT and EPC teams to ensure that the deliverables are aligned with the project timeline and milestones.
• Monitor progress and flag potential delays, working with stakeholders to mitigate schedule risks.

Communication and Stakeholder Engagement

• Organize regular meetings (weekly, bi-weekly, monthly) with the CONSUTANT, EPC contractor, and other stakeholders to review the status of engineering deliverables and address any issues or concerns.
• Prepare and distribute meeting agendas, minutes, action items, and follow-up on resolutions to ensure smooth communication and coordination.
• Develop and maintain effective communication channels to manage information flow among all project participants.

Documentation and Quality Control

• Ensure that all engineering deliverables are reviewed and approved according to the project’s quality standards and regulatory requirements.
• Maintain comprehensive records of all submissions, approvals, revisions, and correspondences related to engineering deliverables.
• Assist in the implementation of quality control measures to verify the accuracy and completeness of deliverables.
• Identify potential risks related to the review and approval of engineering deliverables, including delays, quality issues, and compliance concerns.
• Work with the CONSUTANT and project management team to develop and implement risk mitigation strategies.
• Maintain a risk register and track the resolution of issues related to engineering deliverables.

Change Management

• Assist in managing changes to engineering deliverables, ensuring that any changes are properly documented, communicated, and approved according to the project’s change management procedures.
• Track and report the impact of changes on project scope, schedule, and budget.

Reporting

• Prepare regular progress reports on the status of engineering deliverables, highlighting key achievements, issues, and upcoming milestones.
• Assist in the preparation of monthly project status reports for the project management team and senior stakeholders.

Education and Previous Experience

• Bachelor’s degree in Mechanical Engineering, preferably approved by the Saudi Council of Engineers.
• PMP (Project Management Professional) certification is an advantage.
• Have a minimum of Ten (10) years of relevant experience in large Thermal Power Projects including proven experience in coordinating engineering deliverables and managing stakeholder interactions
• Familiarity with thermal/steam power plants, EPC projects, or infrastructure projects is preferred.
• Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines
• Excellent communication and interpersonal skills to effectively engage with various stakeholders.
• Proficiency in project management software (e.g., MS Project, Primavera) and document management systems (e.g., SharePoint, Aconex, ThinkProject, etc.,) is preferred.
• Strong problem-solving abilities and attention to detail.
