Job summary

Ninja is seeking an Onboarding Specialist to support the HR team by coordinating onboarding activities, guiding new hires through orientation, and ensuring a smooth transition into the organization.

You will collaborate with Talent Acquisition, HR Operations, IT and department managers to prepare access, equipment, and documentation, and to track onboarding checklists. You will address questions during the probation period and help improve the onboarding experience.

Qualifications

• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• 1–3 years of experience in HR, onboarding, HR operations, or employee services.
• Experience coordinating onboarding activities with multiple departments and stakeholders.
• Good understanding of onboarding processes and HR operational practices.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Strong attention to detail and ability to manage multiple tasks and deadlines.
• Ability to handle confidential employee information with professionalism and discretion.
• Proficiency in Microsoft Office and HR systems or databases.

Responsibilities

• Coordinate onboarding process from offer to initial integration.
• Serve as primary HR contact for new employees during onboarding.
• Coordinate and support new employee orientation sessions.
• Collaborate with Talent Acquisition, HR Operations, Government Relations, IT, Administration, and hiring managers to ensure onboarding readiness.
• Follow up on system access, equipment, and documentation before joining date.
• Maintain onboarding documentation and employee records with HR Operations.
• Monitor onboarding checklists and follow up on outstanding items.
• Support probation-related activities with managers and HR Operations.
• Address onboarding inquiries and escalate issues as needed.
• Gather onboarding feedback to improve processes.
