Modern Mills Company is seeking an HR Operations Specialist to support government relations, benefits, and admin services in line with Saudi labor regulations. The role ensures regulatory compliance, timely service delivery, and employee satisfaction across HR processes.

Qualifications

  • Bachelor's degree in HR, Business Admin, or related field.
  • 3 years' experience in HR operations, admin, or recruitment support.
  • Experience with attendance systems and HR processes.
  • Familiarity with Saudi labor regulations.
  • Proficient with Microsoft Office, esp. Excel.
  • Strong coordination and administrative skills.

Job description

To support the execution of core HR operational processes and ensure effective management of government relations, employee benefits, and administrative services. This role is key to ensuring regulatory compliance, timely service delivery, and employee satisfaction in line with company policies and Saudi labor regulations.

Key Accountabilities
  • Coordinate with the Government Relations Officer (GRO) to ensure timely processing of visas, Iqamas, renewals, exit/re‑entry permits, and other employee‑related government documentation.
  • Ensure compliance with Saudi labor, immigration, and applicable regulatory requirements.
  • Manage employee‑related transactions through government platforms, including Muqeem, Absher, and Qiwa.
  • Manage employee registration, deregistration, and monthly GOSI contribution processing, ensuring accurate and timely submissions.
  • Reconcile GOSI records and ensure data accuracy between HRIS and GOSI systems.
  • Prepare GOSI reports and supporting documentation as required by Finance, Audit, and other stakeholders.
  • Ensure eligible employees are registered under applicable HRDF programs in coordination with relevant departments.
  • Maintain accurate records and supporting documentation for HRDF reimbursement claims and follow up on submissions through the HRDF portal.
  • Act as the primary point of contact for employee medical and life insurance matters.
  • Coordinate with insurance providers on policy issuance, renewals, employee additions and deletions, and claims.
  • Ensure employees understand their medical and life insurance benefits, coverage, and claim procedures.
  • Manage employee air‑ticket entitlements for business travel, onboarding, annual leave, and final exit.
  • Liaise with approved travel agencies to facilitate timely ticket bookings, monitor costs, and ensure compliance with travel policies.
  • Maintain accurate records of ticket utilization and related employee travel entitlements.
  • Consolidate and validate monthly payroll inputs, including new hires, exits, deductions, overtime, allowances, and time‑management data, and submit them to Payroll within agreed deadlines.
  • Ensure all payroll supporting documentation is complete, accurate, properly maintained, and readily available for audit purposes.
  • Coordinate with Payroll and Finance to resolve payroll discrepancies and address employee payroll‑related queries.
