The Vendor Management Operations Associate
is responsible for ensuring the accuracy, consistency, and completeness of vendor-related data, documentation, and tracking across systems and repositories.
This role supports day‑to‑day vendor management operations by maintaining reliable information, coordinating requests, and assisting stakeholders with administrative and process‑related activities.
This role acts as a key enabler for business continuity, supporting stakeholders with clear governance frameworks, accurate documentation, and consistent process execution across vendor engagements.
Key Responsibilities
- Maintain and update vendor‑related documentation, ensuring it is accurate, up to date, and aligned with governance standards across tools such as SharePoint and Jira/Confluence
- Maintain and monitor vendor management trackers and datasets (e.g., vendor lists, activity logs, compliance tracking), ensuring completeness, consistency, and reliability
- Support managers and stakeholders with day‑to‑day administrative activities related to vendor governance, including data updates, documentation requests, and process clarification
- Coordinate vendor‑related governance activities by tracking requests, following up with stakeholders, and ensuring timely completion of required actions
- Generate regular reports and perform basic data analysis to support operational decision‑making and visibility
- Create and maintain dashboards and visualizations (e.g., Excel, Power BI) to track key operational metrics such as vendor activity, data accuracy, and process adherence
- Ensure adherence to established vendor governance processes by supporting execution and highlighting any deviations or gaps
- Identify data inconsistencies or missing information and proactively follow up with relevant stakeholders to resolve issues
- Create and maintain dashboards and data visualizations (for example in Excel or Power BI) to track key governance metrics, process adoption, and vendor activity
Minimum Qualifications (Education)
- Bachelor’s degree required in Business Administration, Industrial Engineering and Management, Finance/Accounting, or related field
- Strong proficiency in English, both written and spoken (minimum B2‑C1)
Required Skills and Experience
- 3–4 years of experience in administrative operational processes, data tracking, vendor coordination, or similar roles
- Proficiency in Microsoft Excel and Microsoft 365 tools, including SharePoint
- Good organizational and coordination skills, with the ability to manage multiple tasks simultaneously
- Ability to clearly communicate processes and support stakeholders across different functions
- Clear written and verbal communication skills to support collaboration with cross‑functional stakeholders
Preferred Qualifications
- Experience with SAP Ariba and/or SAP Fieldglass
- Familiarity with contractor governance, procurement processes, or vendor lifecycle management
- Experience supporting process improvement or transformation initiatives
