Job summary

Costaterra Golf & Ocean Club, part of DLC - Discovery Land Company, is seeking a Design Coordinator to lead the vertical design scope for luxury developments in Comporta, Portugal. You will coordinate design across club amenities, maintenance facilities, security buildings, and developer-built product, working closely with project teams and stakeholders.

Responsibilities

• Coordinate the design of all vertical projects including club amenities, maintenance facilities and security buildings.
• Coordinate the design and development process from preliminary design through permitting documentation and construction completion.
• Review design documentation to ensure alignment with approved direction, guidelines, project requirements and quality standards.
• Oversee the design process through construction completion and handover, ensuring coordination and seamless transitions between design, construction and delivery.
• Collaborate with VP of Design, Senior Architects and external consultants, stakeholders and authorities as required.
• Coordinate with internal departments, external consultants, and contractors to meet design objectives and milestones.
• Provide accurate, timely, and structured progress reporting to VP of Design and Senior Architects highlighting risks and actions.
• Provide clear direction to team members and external parties to ensure delivery of design objectives.
• Ensure that design information and decisions are recorded, coordinated and communicated across all teams.
• Monitor design progress against schedules and risks and implement corrective actions with project teams.
• Maintain organized design documentation in the project cloud-based system according to standards.
• Maintain professional relationships with other department heads and represent the Design team in meetings with senior management.
• Promote accountability and clearly define roles, responsibilities and deadlines within the team.

Job description

• Coordinate the design of all vertical projects , including, but not limited to: Club Amenities (e.g., Costa Village, Wellness Centre, etc.)
• Maintenance Facilities
• Security Buildings
• Developer-Built Product
• Coordinate the design and development of all vertical projects in close collaboration with the relevant Project team members and stakeholders.
• Coordinate the full design and development process , from preliminary design through permitting documentation and construction completion.
• Review design documentation and deliverables to ensure alignment with the approved design direction, Design Guidelines, project requirements, and established quality standards.
• Oversee the design process through to construction completion and handover, ensuring continuity, effective coordination, and a seamless transition between design, construction, and project delivery.
• In partnership and coordination with the VP of Design and Senior Architects, communicate, liaise, and negotiate with relevant external consultants, stakeholders, and authorities, as required.
• Collaborate with internal departments, external consultants, and contractors throughout the project lifecycle to ensure the timely achievement of design objectives and milestones.
• Provide accurate, timely, and structured progress reporting to the VP of Design and Senior Architects, highlighting key developments, risks, issues, and required actions.
• Provide clear direction and guidance to team members, consultants, and other external parties to ensure the effective delivery of design objectives.
• Ensure that design information, documentation, and decisions are consistently coordinated, recorded, and communicated across all relevant teams and stakeholders.
• Monitor design progress against agreed project schedules and milestones, proactively identifying potential delays, coordination issues, and risks, and working with the relevant Project team members to implement corrective actions.
• Ensure that all project-related design documentation, records, information, and correspondence are properly organized, maintained, and stored within the designated project cloud-based system, in accordance with established document management and filing standards.
• Maintain effective working relationships with other department heads, including, but not limited to, the VP of Construction, VP of Development, and Permitting Director. Represent the Project and the Design team professionally in internal meetings and interactions with other departments and senior management.
• Promote a culture of accountability and ownership within the team, ensuring that objectives, roles, responsibilities, and deadlines are clearly defined, understood, and consistently met.
