Laista Group is a Lithuanian group of companies operating mainly in workforce leasing, payroll services, recruitment and back-office solutions.
We are currently developing our Portuguese operation and are looking for a hands-on Payroll & Workforce Operations Specialist who will be responsible for both payroll and workforce administration, while also managing A1 certificates, posted-worker processes and other cross-border workforce activities.
The person joining us will work hands-on across the full operational employee lifecycle - from employee administration and payroll calculation to A1 certificates and international assignments.
We are looking for someone with strong practical knowledge of Portuguese payroll, who is comfortable working directly with payroll calculations, employee data, employment documentation and legal requirements, and who approaches operational challenges with logic, flexibility and ownership.
About the role
As a Payroll & Workforce Operations Specialist, you will be responsible for the day-to-day payroll and workforce administration processes in Portugal.
A key part of your role will be to calculate Portuguese payroll directly, from payroll inputs through to final payroll results, while ensuring that all relevant employee, employment and compliance information is correctly reflected.
Alongside payroll, you will manage employee administration throughout the employment lifecycle, including onboarding, employment changes, absences, working time, A1 certificates, posted-worker processes and terminations.
Main resposibilities
Payroll
- Independently calculate and process Portuguese payroll from inputs to final validation.
- Review working time, absences, allowances, bonuses and other payroll data.
- Prepare payslips, reports and required payroll submissions, including Segurança Social and IRS.
- Identify and resolve payroll discrepancies and work with external payroll partners where needed.
Workforce administration
- Manage employee administration throughout the full employment lifecycle, including onboarding, contract changes and terminations.
- Prepare and maintain employment contracts, employee records and other required documentation.
- Administer absences, holidays, working time and other employee-related information.
A1 & Posted workers
- Prepare, submit and follow up on A1 certificate applications.
- Manage documentation and operational processes related to posted workers and cross-border assignments.
- Coordinate required employee and payroll information with relevant internal and external parties.
Operations & Compliance
- Communicate with authorities and external payroll, legal or HR partners when required.
- Maintain accurate documentation, checklists and operational procedures.
- Identify payroll, documentation or compliance issues and take ownership of resolving them.
- Support the Workforce & Operations Team Lead in improving and developing operational processes.
What we expect from you
- Strong hands-on Portuguese payroll experience, including direct payroll calculation.
- Good understanding of Portuguese payroll rules, Segurança Social and IRS.
- Experience in employee administration, including onboarding, contracts, absences and terminations.
- Experience with A1 certificates or posted workers is an advantage.
- Strong logical thinking, attention to detail and ability to identify inconsistencies.
- Flexible, practical and solution-oriented approach.
- Ability to take ownership and work independently with deadlines.
- Fluency in Portuguese and good working English.
Nice to have
- Experience hiring and administering third-country / non-EU nationals in Portugal.
- Hands-on experience with A1 certificates and posted-worker processes.
- Experience with international payroll or employee administration.
- Knowledge of posted-worker requirements in other European countries.
- Experience with payroll or HR systems such as SAP, Primavera, PHC or Workday.
