IT PMO (SAP ERP Transformation)
xelerate.tech is partnering with a global market leader in chemical and ingredients distribution to build a new Tech Hub in Porto. As an IT PMO, you will support the IT Director ERP Transformation in driving governance, coordination, reporting, and operational excellence across a global SAP S/4HANA transformation program.
You will ensure structure, transparency, and alignment across workstreams, regions, and stakeholders, playing a key role in program planning, executive reporting, financial tracking, risk management, and cross-functional communication.
Your Role and Responsibilities:
- Program Governance & Structure: Support the IT Director in maintaining overall program governance frameworks, standards, and reporting structures. Ensure alignment across workstreams and coordinate stage gates, steering committee meetings, and executive reviews while maintaining the integrated program plan.
- Executive Reporting & Steering Support: Prepare executive-level presentations, dashboards, and reporting packs. Consolidate status updates across workstreams (Commercial, Supply Chain, Finance, IT) and track KPIs, milestones, critical dependencies, and escalations.
- Financial & Resource Tracking: Support budget tracking, forecast updates, and cost monitoring in close coordination with Finance. Assist in tracking external vendors, system integrators, and resource allocations against approved budgets.
- Risk, Issue & Change Management: Maintain centralized RAID logs (Risks, Assumptions, Issues, Dependencies). Support impact assessments, escalation processes, and change requests while ensuring mitigation plans are documented and followed up.
- Cross-Functional Coordination: Act as a central coordination hub between global IT, business stakeholders, and external partners. Facilitate cross-workstream alignment between global template decisions and regional implementation activities.
- Communication & Documentation: Maintain structured documentation repositories and version control. Support the preparation of internal communications, program updates, town halls, and leadership updates.
- Go-Live & Deployment Support: Assist in planning and monitoring deployment waves, readiness tracking, cutover coordination, hypercare oversight, and consolidating lessons learned for continuous improvement.
Your Skills and Experiences:
- Degree in Information Technology, Business Administration, Engineering, or a comparable qualification.
- Minimum 5 years of professional experience in Information Technology, with 2–4 years in IT project coordination, PMO, or large-scale transformation programs.
- Exposure to ERP implementations (SAP experience preferred), ideally within multinational or matrix organizations.
- Advanced knowledge of project management methodologies (Waterfall, Agile, hybrid) and proficiency in MS Office (Excel, PowerPoint, Project) and collaboration tools (JIRA, SharePoint, Teams).
- Strong analytical and executive reporting capabilities, with experience in budget tracking and financial monitoring.
- Excellent organizational and stakeholder management skills, with the ability to interact confidently with senior leadership.
- Proactive, structured, detail-oriented, and solution-driven mindset with a high level of professionalism and discretion.
- Fluency in English (spoken and written); German language skills are a plus.
